About JTI Ventures

We are a Swedish e-commerce company selling on multiple marketplaces and our own online stores, with suppliers in several countries. We are a small team in Sweden with short decision-making paths and a high pace. The business is growing, and we need someone who can take clear operational responsibility for order flow, supplier follow-up, and daily routines.

About the role

Much of our business currently runs on experience, email threads, and informal routines. This has gotten us here, but not further. Your task is to help transform this into clear, documented, and controlled processes that we can scale – without relying on the right person remembering the right thing by chance.

As an Operations Coordinator, you work hands-on with the operational order flow from order to delivery to the customer. A large part of the work takes place in the daily flow: placing and following up on orders, ensuring order confirmations, checking delivery status, tracking shipments, updating systems, handling discrepancies, and driving suppliers until issues are resolved.

You drive the daily supplier dialogue, follow up on orders and deliveries, and help build routines that keep the business together as we grow. The role requires both process capability and strong administrative precision in daily work.

This is a hands-on role. We are not looking for a strategic consultant – we are looking for someone who likes digging into the details, mapping out an unclear flow, building a Google Sheet that solves a problem, following up on open order lines, and ensuring nothing falls through the cracks.

You work closely with and report directly to the CEO.

Your mission

  • Be responsible for daily order management: ensuring orders are placed correctly, confirmed by suppliers, followed up, tracked, and escalated in case of discrepancies
  • Own and develop the operational order flow, including order systems, logistics flow, delivery follow-up, and internal control points
  • Ensure daily follow-up of open orders, order confirmations, delivery status, tracking numbers, delays, and discrepancies
  • Keep internal systems updated with correct order status, delivery information, and follow-up notes
  • Drive the daily supplier dialogue regarding order confirmations, backorders, delivery times, tracking, escalations, and operational questions
  • Identify unclear or informal processes, map them, and build structured ways of working with clear responsibilities, controls, and follow-up
  • Build robust SOPs and control systems so that the business does not hang on individual people's memories
  • Identify, follow up, and escalate discrepancies in the order and delivery flow before they affect the customer or marketplace
  • Identify and address bottlenecks before they become bigger problems
  • Follow up on operational key figures such as order status, late deliveries, missing tracking, delivery precision, open cases, and supplier discrepancies
  • Support month-end closing from an operational perspective

We are looking for someone who

  • Has at least 3 years of experience in operations, logistics, order management, or supply chain – preferably within e-commerce or marketplace-driven business
  • Has done it before: taken an area where "everything works almost" and turned it into a process that others can follow
  • Thrives with daily operational follow-up, administration, order management, and recurring routines
  • Is comfortable with daily supplier dialogue in English, both written and verbal
  • Is used to working in multiple systems in parallel and keeps data updated with high precision
  • Has very good administrative skills and enjoys working structured in the details
  • Builds systems and documents processes by instinct – not because someone tells you to
  • Has a high sense for detail and understands that small mistakes in the order flow can quickly create big problems for the customer, supplier, and marketplace
  • Is structured, self-initiating, and not afraid to roll up your sleeves
  • Master Google Sheets / Excel at an advanced level
  • Is fluent in Swedish and English

Plus if you have

  • Experience with e-commerce platforms and marketplaces
  • Experience with operational supplier follow-up
  • Experience with order flows, delivery follow-up, and discrepancy handling
  • Experience following up on open order lines, tracking, and delivery discrepancies in larger volumes
