Job Description
KTH is now seeking an engaged Economic Administrator for the Business Support unit at KTH. As an Economic Administrator with us, you will become part of an engaged work group where quality and responsibility are in focus. The position will be placed in the economic group that supports the School of Industrial Engineering and Management.
We are looking for you who want to work close to the operations and have an important role in the economic work by supporting our EU economists in their daily work and, in the long run, the school's departments and sections in the management of EU-funded projects. The work is carried out in close collaboration with EU economists, project economists, business controllers, and project managers within the ITM School's departments.
The work includes tasks such as:
- Collect, check, and structure timesheets for EU projects
- Handle and check travel expenses and accompanying documentation
- Coordinate and quality-assure various types of project documentation
- Administer payments to project partners
- Compile documentation, e.g., for audits
- Work in and follow up cases in case management systems (e.g., produce statistics, reports, and follow-ups)
- General ledger reclassifications and reconciliations
- Register maintenance
- Contribute to the development and efficiency of administrative processes
- Other administrative tasks may also occur
Qualifications
To succeed in the role, you are a responsible person who has the ability to drive your work forward and complete your tasks within a certain timeframe. You work with quality awareness and enjoy planning and structure, but are also interested in improvement work and development. You communicate clearly and can work both independently and in a group. Since you will work in an economic team and support your colleagues, it is important that you have a good sense of service and are easy to collaborate with. As a person, you are engaged and unpretentious in your demeanor.
The work requires very good knowledge of MS Office programs, specifically Excel. As we operate in an international environment, it is important that you have good ability to express yourself in both Swedish and English, in speech and writing, as this is needed in daily work.
Requirements
- Economic education at the upper secondary level or work experience that the employer assesses as equivalent
- Experience working with economic administrative tasks
- Communication skills and the ability to explain economic concepts in an understandable way
- Good knowledge of Swedish and English in speech and writing – both languages are required in daily work as we operate in an international environment
- Good knowledge of the Office package

To succeed in the role of Economic Administrator, you need to be independent, structured, quality-aware, and service-oriented. Additionally, you need to have pedagogical insight and thrive in an environment with many contact surfaces and varying tasks.
Merits
- Experience supporting economists in administrative tasks within grant-funded projects
- Experience working in large business systems such as Agresso, SAP, or similar
- Experience working in case management systems
- Relevant work experience from universities, colleges, or other research-intensive organizations
