We are now looking for an Operations Coordinator for the Education Administration in Stockholm. The Education Administration is Stockholm City's largest administration and Sweden's largest educational organization. We have approximately 16,000 employees and run around 170 schools for 100,000 students.

The Education Administration consists of six departments with different specialist and responsibility areas. The position is located in the Development and Coordination Department, one of four support departments. As an Operations Coordinator, you are placed in the department's support staff, led by the Department Head.

The department's overarching task is to create good conditions for the city's pedagogical activities through strategic support in digitalization, research and development, business development, information security, and quality work. The department is responsible, among other things, for developing and coordinating digital support and services, strengthening work with information security and data protection, targeted development efforts, and producing knowledge bases and strategies that contribute to quality and equity in teaching.

Your role

In the role of Operations Coordinator, you are part of the department's management group, and your most important tasks are to:

  • Coordinate and develop case preparation within the department and participate in the administration's central preparation group.
  • Prepare cases and create materials, assignments, and presentations for various purposes.
  • Support managers and contact persons in the formulation and quality assurance of materials, service descriptions, business plans, etc.
  • Plan, coordinate, and follow up on the department's business planning, quarterly reports, and business reports, as well as consolidate reporting in ILS Webb (Stratsys).
  • Ensure that reporting and documentation follow decided processes, timelines, and the city's structure for internal control and follow-up.
  • Develop and maintain the department's common annual calendar.
  • Act as secretary at the department management meetings and document and disseminate information within the department.

Your competence and experience

We are looking for you who have:

  • An academic education in pedagogy or political science, or another academic education that the employer deems relevant for the position.
  • Experience in similar tasks, such as coordination, case preparation, and supporting employees in quality assurance of materials.
  • Experience in business planning and business follow-up.
  • Good ability to compile and present information and decision-making materials.
  • Very good ability to express yourself in speech and writing in Swedish.
  • Good computer skills and experience working in MS Office.

It is meritorious if you have:

  • Experience working in a management group.
  • Experience working in system support, such as ILS Webb/Stratsys.
  • Experience working in a politically governed organization.

Furthermore, you are self-reliant and ensure that you plan, organize, and prioritize your work in a careful and efficient manner.
