Job Description

Do you want to work in a key function and contribute to ensuring our operations run smoothly from day to day? Apply for the position of Staffing Planner at SiS! The role is a crucial part of creating the conditions for SiS to establish a more equitable and efficient way of working throughout the entire organization.

We are now looking for an additional Staffing Planner to strengthen our HR team!

SiS Youth Home Tysslinge is in a phase of development! We have recently reopened two of our wards, and in addition to this, we are expanding our core staffing on all wards this autumn as we implement new schedules. As our operations grow, we now need to strengthen our existing HR team, which currently consists of an Administrative Manager, an HR Generalist, an HR Administrator, and a Staffing Planner. We are a small, tight-knit group that works closely together but also collaborates with the institution's managers. Since we are a small HR team, we need to be able to cover for each other when necessary, which means you need to be flexible and ready to jump in where needed.

The Staffing Planner serves as the institution's support to ensure that competence and resources are used optimally to achieve the institution's goals and results. As a Staffing Planner, you, together with the other Staffing Planner, have overall responsibility for the staffing planning for all of the institution's wards, as well as the work groups operating as operational leaders and central guards. You are responsible for operational planning by staffing shifts and coordinating the institution's staffing needs, both short-term and long-term. You adapt schedules as needed, for example during rehabilitation or temporary part-time work, and are a key person in organizing scheduling during vacation periods. As a Staffing Planner, you are involved in planning introductions for new employees, you inform and follow up on the institution's overtime hours, and work proactively to identify recruitment needs. In addition to operational staffing planning, you are also responsible for administering and being the institution's expert in the staffing system Besched.

The work involves working independently and closely with your Staffing Planner colleague, while simultaneously having many contact points and collaborations with both employees, unit managers, and your closest colleagues in the HR team. You will have the opportunity to influence the agency's development work and working methods related to staffing and scheduling through a network consisting of both national expert functions and staffing planners at other institutions.

About the Workplace

SiS Youth Home Tysslinge is an institution at the highest security level that receives youth with high risks of threats, violence, and deviance. The institution has a total of seven wards that receive youth placed according to the Care of Young Persons Act (LVU) and youth sentenced according to the Closed Youth Care Act (LSU). One of the wards consists of places for youth who are cared for individually for a period (VIE). The majority of our youth are often in a legal process or already convicted of serious crimes and have connections to criminal networks. The institution has a total of over 200 employees working in both client-facing roles and support functions. When we roll out our new schedules this autumn, we will have approximately 150 treatment assistants/pedagogues on full-time basis, as well as around 40 hourly substitutes.

Since Tysslinge is an institution at the highest security level, security and confidentiality are important aspects of our work, and you need to work with great diligence regarding this.

As the workplace is located just outside Södertälje, it is advantageous if you have a B-driver's license and access to a car, but there are some opportunities to commute by public bus which stops outside the institution once per hour.

Qualifications

To thrive and succeed in the role of Staffing Planner, we believe you are driven by the opportunity to work in an operation that is in the midst of a major change process. You have a good ability to work at a high pace while simultaneously creating an overview of the whole picture. You are responsive and structured, and have a good ability to anticipate needs and plan your work based on them. Since the need for staff can change quickly, it is required that you are flexible and can independently structure and reprioritize your work. The role requires that you have a high ability to work independently, while also enjoying collaborating with others. This is particularly important since you and the other Staffing Planner will need to work closely together for a successful collaboration. Your many contact points also require that you have good communication skills and a high sense of service.

You must also have:

  • Relevant post-secondary education with a focus on administration or HR, or other education combined with work experience that SiS considers equivalent.
  • Good knowledge of and understanding of legislation and regulations regarding working hours.
  • Experience working with staffing and scheduling.
  • Experience working in personnel and staffing systems.
  • Good ability to express yourself in Swedish, both written and orally.

Meritorious:

  • Experience working with staffing and scheduling in the systems Besched and Netwic, which are the systems SiS uses.
  • If you have experience with staffing in similar operations with high staff density.
  • Good knowledge of the Office package.

Employment:

The position is a permanent full-time employment and begins with a six-month probationary period. Start date by agreement.
