We are now looking for two driven and quick-thinking problem solvers for our client – a leading company in IT infrastructure. This is the perfect role for you if you like understanding how systems fit together and want to take significant personal responsibility!

About the role

Our client is facing an enormous and exciting project together with one of Sweden's largest telecom operators. Over the coming year, up to 20,000 orders are expected to flow in. The ambition is to build a fully automated flow from procurement to invoicing where no manual intervention is needed.

But reality always involves exceptions! In the startup phase, the flow will need to be monitored closely, and even when automation is in place, system glitches, price discrepancies, or special orders outside the standard assortment will occur.

This is where you and your colleague come into the picture. You will have overall responsibility for ensuring that the order and procurement flow runs smoothly. The goal is to ensure that every purchase goes through the correct systems so that invoicing can eventually roll out without problems.

Responsibilities

In this role, you do not handle invoices practically, but you must understand and be responsible for the flow that leads to them. You act as a system detective and coordinator when the automated chain breaks.

Your main responsibilities:

  • Monitor the (soon to be) automated order and procurement flow and handle high volumes at a fast pace.
  • Handle and resolve exceptions, for example when prices do not match in the system or when the customer orders products outside the standard assortment.
  • Troubleshoot when the order flow stops. You need to understand what has happened and quickly be able to escalate the problem to the right instance, for example the company's IT department.
  • Have a holistic view of the process to ensure that every action leads to the order being completed and invoiced.

We are looking for you who

For this role, we place the greatest emphasis on your drive, your technical interest, and your ability to think logically! Perhaps you have just graduated, or you have gained relevant drive and work experience through part-time jobs or summer jobs and are now ready for the next step. Note that we are looking for someone who wants to work administratively in an office/system environment; this is not a warehouse role.

  • A completed post-secondary education.
  • A strong administrative drive with the ability to work at a high pace without losing accuracy.
  • Good computer skills and a basic technical understanding.
  • You speak and write fluently in Swedish and English.

To succeed in the role, you have the following personal qualities:

  • Strong consequential thinking: You understand "cause and effect" in a flow (i.e., "if I change the price here, what happens in the next step?").
  • Curious and problem-solving: When an error occurs, you do not become passive; your first thought is: "What happened here, how do I solve it, and who do I need to talk to?".
  • Quick-thinking: You like it when there is a lot to do and have the ability to quickly process information and make decisions.

It is an advantage if you have

  • Experience from service or administrative professions.
