Responsibilities

Within the IFO Adult Investigation Department, we have identified a need to develop strategies for recruitment and onboarding. The aim is to strengthen social secretaries in their mission, reduce staff turnover, and ensure a solid introduction when starting employment. Therefore, we have developed work on enhanced and coordinated onboarding, trainee programs, introductions for social work students, and strategies for recruitment and competence supply. Previously, the focus has been mainly on financial aid, but we now wish to develop this work across all operational areas within the department.

Together with the section manager and another senior social secretary, you will be responsible for our new employees' first period in the department, preparing them to feel secure in their professional role. You will provide support through case and method guidance (individually and in groups), coaching, motivation, and helping them develop in their role. You will also plan and lead various training initiatives, reflection sessions, and follow-ups, as well as contribute to creating and maintaining functional processes and routines in daily work.

Other responsibilities in the role of Senior Social Secretary include:

  • Act as a subject matter expert.
  • Mentor new employees on how best to guide and support Malmö residents seeking help.
  • Participate in developing, implementing, following up, and evaluating the introduction program for social work students and new employees.
  • Be responsible for planning and conducting onboarding during employees' first year in our department.
  • Assist in planning competence development initiatives for employees returning after absence or those needing individual support for a limited time.
  • Be responsible for reviewing case handling based on current legislation and guidelines.
  • Participate in operational development.
  • Stay updated on new research, legislation, and directives and ensure their implementation in operational work.
  • Maintain methods and assessment instruments for use in daily case handling.

Qualifications

We are looking for a qualified social worker with several years of current experience in exercising public authority according to the Social Services Act. You also have experience working with housing and/or harmful use and addiction, as well as knowledge of methods used in these areas and experience in quality work.

Since the role involves coaching and supporting future social secretaries, good knowledge of conversation methodology and a coaching approach are required. The work involves significant coordination and documentation, requiring high administrative skills, good computer literacy, and the ability to express yourself well in Swedish, both orally and in writing. Good knowledge of Lifecare is required.

  • Have experience speaking to and presenting messages to groups.
  • Have experience collaborating with internal and external partners.
  • Have previous experience mentoring others in their work.
  • Have current experience working in Malmö City.
  • Have knowledge/experience of financial aid.

As a person, you are expected to have good collaboration skills, the ability to listen, show interest and understanding for others, and offer good treatment. You are communicative, clear, and attentive. You possess flexibility and openness to change, can quickly switch focus, and act based on new conditions. You are responsible, proactive, and able to independently plan, organize, and prioritize your work. We also expect you to be creative and confident in shaping your own role together with colleagues for the benefit of the operation.

About the Workplace

The Section for Operational Support is part of the Support and Coordination Unit, responsible for and coordinating many department-wide assignments and processes. Your closest colleagues include a senior social secretary (focus on financial aid), a social secretary (coordination of health issues), and 9 planning secretaries.
