Tavex Group is the leading player in precious metals and currency exchange in Northern Europe. We operate in 13 countries and continue to expand. At Tavex AB in Sweden, we have guaranteed quality and built trust for over 20 years. Our experience is evidenced by an AAA rating from Dun & Bradstreet – a rating that only 3% of companies in Sweden have.

We are now looking for a dedicated colleague who wants to take the next step in their career with us!

About the position:

We are currently seeking a structured and proactive administrative coordinator to join our team in central Stockholm.

This is a varied and meaningful role where you provide administrative and secretarial support to the management team and other internal stakeholders – sometimes with more complex tasks.

You will act as a central point of contact both internally and externally, gain broad insight into the business, and independently drive your own processes and improvement initiatives to streamline and develop work methods.

The role requires a high degree of independence, strong initiative, and the ability to handle multiple parallel processes effectively in a dynamic and international environment.

Your tasks and responsibilities:

  • Ensure structured management of digital and physical documentation as well as information flows
  • Perform accurate data entry, document control, and quality assurance
  • Support internal and external communication by preparing, compiling, and distributing materials
  • Manage purchases, orders, and invoices for office supplies, indirect materials, services, and consumables for Tavex Sweden's operations
  • Independently drive internal projects and processes
  • Identify areas for improvement and lead change initiatives
  • Support colleagues in administrative tasks (including acting as a super user in various systems)
  • Maintain order, structure, and reliability in both routine and more complex administrative processes
  • Provide administrative and secretarial support to management and relevant stakeholders, including representing the management team in internal and external contacts
  • Plan and organize travel, conferences, meetings, and events

Who we are looking for

  • You thrive in a broad administrative role with many points of contact and significant personal responsibility.
  • You are structured, solution-oriented, able to prioritize easily, and service-minded with a natural ability to take initiative.
  • You are accustomed to creating order and structure in both routine tasks and more complex administrative processes and enjoy working in an international environment with diverse cultural perspectives.

Requirements

  • Previous relevant experience in administrative roles
  • Documented ability to manage multiple stakeholders and parallel tasks
  • Experience working in various administrative systems (preferably HR or process-related tools)
  • Structured, proactive, and solution-oriented working approach
  • Strong ability to independently drive change and development in administrative processes
  • Excellent knowledge of Swedish and English, both spoken and written

Desirable

  • Academic degree in a relevant field (e.g., business administration) – not a requirement
  • Experience from finance, trading, or similar industry
  • Knowledge of additional languages or specific systems (e.g., ERP or HR systems)

What we offer

  • A stable position in a financially strong and growing company with an AAA credit rating
  • Central location in Stockholm with modern office facilities
  • A positive and collaborative work environment focused on trust and well-being
  • Competitive salary based on experience and attractive benefits (e.g., wellness allowance of 5,000 SEK/year and team activities)
  • Opportunities for professional development within a leading Nordic player in precious metals and currency exchange

If you want to help shape the future of investment metals while developing in a dynamic and inclusive environment – then Tavex AB is the right place for you.

Welcome to become a part of our team and contribute to a brighter future – for yourself and our industry!
