Karolinska Institutet (KI) has the largest selection of medical education in Sweden and accounts for the largest share of medical academic research.

The Service Unit is part of the Property Department within KI's shared operational support (GVS). The department consists of about 40 employees, of which the service unit comprises around 15–16 employees. Our mission is to create attractive, well-functioning, and safe campus environments that enable KI's research and education to develop.

The facility management function of the service unit is currently in a phase of renewal and modernization. For this development journey, we are looking for several new employees who want to help create a top-class service experience and contribute to an inspiring environment for research and education.

Your role

As an employee in facility management (FM), you will be an important part of KI's daily service operations and play a central role in ensuring that everyday life works for students, researchers, employees, and visitors. You will work broadly within internal service and FM-related tasks, often with direct contact with both internal and external visitors. The workday is varied, and you are expected to switch between planned tasks and spontaneous service needs.

You will work closely with many operations within GVS and ensure that premises, equipment, and service functions operate efficiently. You should have a proactive attitude and a drive to create the best possible conditions for service to KI's core operations.

Your tasks may include:

  • practical and administrative support in daily operations
  • staffing of reception or other service areas
  • handling various types of error reports
  • technical and practical support in connection with teaching, meetings, and events
  • basic handling and support of AV equipment and AV technology
  • work within, mail, and janitorial services
  • follow-up of suppliers (e.g., cleaning, restaurant, and technical services)
  • basic invoice administration
  • updating information on internal websites
  • participation in smaller projects and improvement initiatives
  • participation in the procurement of contracts within the service area (LOU)

Depending on your skills and previous experience, there may also be an opportunity to take on extended responsibility for the development of the operations.

Who are you?

We are looking for someone who has a genuine interest in service and thrives in a role with many points of contact and varied tasks. To succeed in this role, we see that you:

  • have experience in service work, preferably within FM, service centers, hotels, properties, or similar environments
  • are computer literate and comfortable working in Office 365
  • express yourself well in Swedish and English, both spoken and written

Meritorious:

  • experience in project management
  • experience in FM-related tasks or work in campus environments
  • experience working in case management systems
  • basic technical understanding of AV equipment and AV technology
  • driver's license (may be relevant depending on placement)
  • experience in property maintenance and/or janitorial services
