We are now looking for a committed and service-oriented administrative assistant for the reception at the Social Office in Västervik. With us, you will become an important part of an operation characterized by collaboration, engagement, and a strong desire to create quality in interactions with people.
Your Responsibilities
As an administrative assistant, you are the first point of contact for visitors at the Social Office and are responsible for staffing our reception. You meet people of various ages and life situations. The work involves a broad administrative responsibility where you handle mail, purchases, and ensure that quality and safety are maintained in our visitor and waiting rooms.
You are also responsible for the office archive, which includes both archiving and disposal according to current procedures. The position also includes planning and coordinating contact with, for example, property owners, the vehicle unit, and other external actors.
You will work closely with our housing coordinator, and together you will contribute to maintaining a high quality in the operation. The housing coordinator's role involves implementing decisions regarding special housing within elderly care. You support each other during absences and ensure that the operation runs smoothly even when the pace is high and many things are happening simultaneously.
Your Competence
We are looking for someone who has completed upper secondary education and has experience in administrative work. The position also requires a B driver's license for manual transmission vehicles.
Experience working within a municipality or other authority is advantageous, as is familiarity with meeting people in vulnerable situations. It is also beneficial if you have experience in invoice management, coding, and document management such as archiving.
You express yourself fluently in Swedish in both speech and writing and find it easy to familiarize yourself with new digital systems.
To thrive and succeed in the role, you need to be service-oriented, flexible, and confident in switching between different tasks. You work in a structured manner, take responsibility, and have the ability to create order even when the pace is high.
You communicate in a professional and respectful manner and find it easy to collaborate with both colleagues and visitors.
