Currently, the HR unit consists of four HR specialists, an HR administrator, a payroll economist, and an HR manager.
Responsibilities
As an HR administrator, you will work closely with colleagues, managers, and employees in the daily HR operations. You will be responsible for administrative routines and processes, ensuring correct personnel flows, and contributing to good internal service, for example, via HR's functional email. You will apply laws and collective agreements, produce statistics and reports continuously and for the annual report, and support our payroll economist in payroll administration towards the Swedish Agency for Government Employers (SSC). The role involves working in HR and payroll systems, as well as participating in digitalization and improvement projects as a subject specialist.
The work is varied and encompasses the entire HR area – from recruitment to termination, from payroll administration to reporting, and from system administration to some labor law support. Examples of tasks include:
- Administering cases, training, certificates, advertising, recruitment, and other labor law documentation.
- Responsible for public documents, document management, personnel archives, and record-keeping.
- Managing HR's functional email and, in case of absence, also the payroll office's functional email.
- Creating templates, forms, and guidelines independently or in collaboration with colleagues.
- Taking meeting notes at personnel meetings and participating in other HR-related meetings, e.g., the Work Environment Committee, central collaboration, or negotiations.
- Structuring and updating information on SGU's intranet Employee Web.
- Administering permissions in HR systems and providing support to managers and colleagues.
Qualifications
We are looking for someone who has:
- a post-secondary education in HR/payroll or administration or equivalent experience that the employer deems comparable
- a good understanding of labor law, collective agreements, and HR processes
- good system familiarity and confidence in working with digital tools, such as Microsoft Office, Excel, and Teams or similar
- experience working in digital systems within the HR field, such as personnel, payroll, and/or recruitment systems
- very good ability to express yourself well in Swedish, both orally and in writing
- the ability to express yourself well in English, both orally and in writing
Meritorious experiences and qualifications:
- Professional experience in a similar role within HR or payroll administration
Personal qualifications
We are looking for someone who works in a structured and meticulous manner and enjoys creating order in both systems and processes. You have a service-oriented and communicative approach in your interactions with managers and employees.
You take responsibility for your tasks and work independently, while also being collaborative and contributing to a good work climate. In a role with many parallel tasks, it is beneficial if you are solution-focused, confident in prioritizing, and finding ways forward when circumstances change.
Since the work involves handling sensitive personal data, you need to have high integrity and be comfortable working with information that requires confidentiality.

Employment type: The position is a permanent employment and we apply a 6-month probationary period with immediate start according to agreement.
