We are now looking for a structured, service-oriented, and self-driven Executive Assistant to the CEO Office at a large hotel chain. In this role, you will have a central position close to management and become an important key person to ensure a smooth, efficient, and professional daily operation for the CEO and CEO Office.

You will work in a fast-paced environment with many points of contact, where the ability to prioritize, stay one step ahead, and handle confidential information is crucial.

The position is a direct recruitment, so the employment will be directly with our client, located in central Stockholm.
 

About the role

As an Executive Assistant, you will provide administrative and organizational support to ensure effective operations of the CEO Office. The role involves a wide range of responsibilities including calendar management, travel, communication, and meeting logistics, including support for management group and board meetings.

You will work closely with the Chief of Staff and collaborate with both the CEO and CFO as well as other internal and external stakeholders.


Your tasks

In the role of Executive Assistant, you will work with:

  • Advanced calendar management for the CEO Office, including planning, booking, and handling scheduling conflicts
  • Handling correspondence (emails, phone calls, and mail)
  • Travel bookings and travel administration: contact with travel agencies, support for travelers, and follow-up on travel policies
  • Follow-up on contracts and supplier relationships related to travel together with the purchasing manager
  • Administration such as expense reporting and time reporting for the CEO
  • Planning and coordinating meetings and events, including overall responsibility for logistics around Executive Committee (EC) and board meetings
  • Managing multiple parallel priorities with high delivery capability and good follow-up
  • Other projects and tasks as needed

As a person, you are proactive and solution-oriented, someone who enjoys taking responsibility and ensuring that things get done.

We see that you have:

  • Excellent organizational skills and a strong attention to detail
  • The ability to prioritize, work efficiently, and handle multiple tasks simultaneously
  • Good experience working against deadlines in a demanding and agile environment
  • Fluency in both spoken and written Swedish and English
  • Good knowledge of the Microsoft Office suite
  • High integrity and the ability to handle confidential information discreetly
  • Experience from a similar administrative role, such as Executive Assistant, Office Manager, or similar
