Do you want to be part of a socially important operation where service and good collaboration are at the center? Skarpnäck district administration is looking for an administrator focused on case management and registration within the unit for quality and committee processes.

The unit for quality and committee processes consists of four dedicated employees who, together with the unit manager, are responsible for registration, archives, committee administration, data protection issues, association grants, and quality issues within the administration. We also coordinate the committee's operational planning and follow-up of activities. The unit is part of the administration's operational support. Within the group, we work closely together and have an open and supportive work climate. We are now looking for a colleague who wants to take clear responsibility for case management and at the same time be the main responsible for registration.

Your role

In the role of administrator with a focus on case management and registration, you will become a central part of the administration's administrative hub. You will work closely with the committee secretary and contribute to ensuring that our political processes function smoothly and legally securely. An important part of your assignment is to take responsibility for case management related to the social delegation and the pensioners' council. This means that you plan and coordinate the dispatch of invitations and documents, prepare materials, and ensure that meeting processes maintain high quality. You will also have an active secretarial role in these forums, where you are responsible for keeping minutes and contributing to a structured and legally secure decision-making process. If necessary, you will step in as the first substitute for the committee secretary at the district committee's meetings.

At the same time, you will have primary responsibility for registration and become a key person in the administration's work with information management. This includes record-keeping, the release of public documents, and providing support on issues related to publicity and confidentiality. You will work closely with the administration's archivist to ensure good order and compliance with applicable regulations and handling instructions. The role also includes supporting managers and employees in using our case management system, conducting training, and contributing to the development of our working methods. If needed, you will also assist in other matters such as administrative and municipal law as well as in the processing of association grants.

Your qualifications and experience

We are looking for someone with solid experience in qualified administrative work and who thrives in a role where you are expected to take initiative and work independently. You have the ability to create structure, prioritize during periods of high tempo, and remain calm even when many issues are in motion simultaneously.

You express yourself clearly and professionally in both speech and writing and have a good approach in contact with employees, residents, and elected officials. The role involves many points of contact, and you feel comfortable representing the administration in a service-oriented and respectful manner. As a person, you are collaborative, unpretentious, and willing to strengthen the overall mission of the unit. You step up when needed and easily support colleagues while taking responsibility for driving your tasks forward.

We are looking for you who have:

  • A university or college degree in political science, public administration, or law, or another equivalent education combined with work experience that the employer deems equivalent
  • Experience working as a committee secretary or similar role that the employer deems relevant
  • Good knowledge of the laws and regulations governing municipal decision-making, such as the Local Government Act, the Administrative Procedure Act, the Public Access to Information and Secrecy Act, and GDPR
  • Experience working in public administration, preferably in registration or similar administrative tasks
  • Very good ability to express yourself in Swedish in speech and writing and to write formal texts in Swedish
  • Good knowledge of various programs in the Office suite

It is meritorious if you have experience with case management systems such as eDok (Platina).
