Administrator with Executive Support Role

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. The Education Unit, which is part of the HR department, will work strategically and long-term with educational supply and competence development for the entire authority and in close collaboration with the operations to plan, develop, administer, implement, follow up, and ensure the quality of education. The Planning and Follow-up Section is responsible for directing and developing the Swedish Prison and Probation Service's common educational programs. The section maps and analyzes educational needs, assesses and manages the educational offerings. The section also handles operational planning, budget, finance, and goal follow-up, as well as conducting environmental monitoring.

JOB RESPONSIBILITIES

As an administrator with an executive support role, you will support both the section manager and the unit manager. You will help create structure, efficiency, and continuity in the work by coordinating administrative processes, ensuring good communication, and providing support in daily operations. You will also work with administrative support such as managing the unit's functional mailbox, system administration, case management, meeting bookings, minute-taking, record-keeping, archiving, or certain shorter planning and preparation tasks. The work is carried out in close collaboration with relevant parties. As an employee with us, you are part of a changing organization where tasks may change in consultation with the manager. This is a new position that will develop together with the person hired.

We are looking for someone who has:

• High school diploma
• Experience using IT as a support in work
• Experience with qualified administrative tasks
• Experience working in an administrative service function where contact with both employees and managers is common
• Experience working in government operations
• A good ability to express yourself orally and in writing in Swedish

It is advantageous if you have:

• University courses in personnel, administration, or economics, political science
• Experience with complex administrative tasks
• Experience working as executive support
