Regional Administrator at the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, detention centers, and client transport.

The Regional Office East has a need for a new team member to provide support in the region's document management, some case processing, and other administrative tasks during an intensive development and expansion phase. At the regional office, trust-based leadership is applied, which allows for personal initiative within given frameworks.

The position is located at the Regional Office East in Linköping, and you will work in a small team at the office. At the Regional Office East, we support each other.

RESPONSIBILITIES

As a regional administrator, you will work with the registration of documents, mail handling in both digital and physical forms, and support regional lawyers with simpler case processing. The group also manages the regional office's preparation and decision-making processes, which includes bookings, compiling agendas, and document management. The regional secretariat group also performs other administrative tasks at the regional office, such as minute-taking at formal meetings and dispatching documents, as well as maintaining the office's upkeep, service, comfort, and opening hours, and managing access rights. The group is responsible for the administration of the regional office's annual planning. The group also books and plans certain events and trips based on the needs of regional management. You will closely collaborate with the regional manager and section manager, as well as regional lawyers and subject matter experts, in addition to working within the group.

The work is conducted during office hours on-site at the regional office. Remote work agreements do not apply to this position.

QUALIFICATIONS

In your work, you take initiative, start activities, achieve results, and create structure in your working methods. You work well with document management and archiving and have a service-oriented approach.

We are looking for someone who has:

  • Relevant education and/or experience for the tasks.
  • Knowledge of Platina or another document management system.
  • Experience working with the Office suite.
  • Experience in public service.
  • Ability to express yourself well in spoken and written Swedish.

It is advantageous if you have:

  • Experience working as a registrar and with archiving.
  • Experience writing formal minutes.
  • Experience with simpler case processing.
  • Experience with administrative tasks.
  • Experience working in a supportive or service function.
