About the Position

Our administrative coordinator is moving on to new tasks within the administration after many years with us in the housing units. Housing Unit 2

Housing Unit 2 is one of the two housing units of the Social Administration located in Uppsala. The operations primarily target individuals over 18 years old with housing social contracts and Housing First, and we operate under the Social Services Act (SoL).

The housing units are located on the same floor. There is a reception staffed by the labor market administration. The unit has three administrators who support several different units within the adult department of the Social Administration with various administrative tasks.

Job Description

Your core responsibilities include administrative tasks at the housing units and several other units in the adult department, such as supporting the operation's caseworkers and managers with administrative tasks as needed. The work is very varied. It includes, for example, equipping emergency apartments, working in various systems, and operating under current legislation, such as confidentiality laws. In addition to your core role as an administrator, you will coordinate other administrators at the housing units (two positions) to achieve a common understanding in a complex operation and best utilize the skills available in the administrator group. This may involve developing common routines and working methods, as well as environmental monitoring. You prioritize the group's tasks and provide support in more complicated administrative tasks and serve as a close support to the managers in the operation.

You will also collaborate with the other of the department's two administrative coordinators and other administrators in the adult department.

Your Responsibilities Include:

  • Coordination of administrative support
  • Support in various systems, such as Lifecare, Heroma, Proceedo, Unit 4, and Cosmic Link
  • Extracting statistics for the operation from operational systems
  • Practical work such as equipping and ordering equipment and furniture for emergency apartments
  • Scheduling
  • Support to managers and caseworkers in the various units
  • Purchasing and invoice management
  • Archiving and disposal
  • Procurement
  • Other support to the operation as needed.

Qualifications

We are looking for someone with a high school education. To succeed in this role, you need several years of experience in qualified administrative work in public operations relevant to the tasks described above. The work also requires you to have good oral and written skills in Swedish. We also expect you to have good computer and system skills, as well as knowledge of Office programs.

If you have any form of administrative education, it is considered an advantage. Experience with procurement processes and experience in the Social Administration in Uppsala is also advantageous. It is beneficial to have knowledge of Heroma, Lifecare, Unit 4, and Proceedo, as well as a good understanding of the municipality and the organization of social services.

The work places high demands on flexibility and good collaboration skills. It also requires a structured, service-oriented, and consultative working method. You need to be able to handle peak workloads and work on multiple cases simultaneously. Furthermore, you are good at finding the most effective solution to complex problems. Last but not least, you are proactive and can initiate activities to achieve results.
