Administrator for the IT Department at the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our primary goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer for everyone. We are the authority responsible for prisons, probation, remand prisons, and client transport.

We are now strengthening the IT department's office and are looking for two administrators to join our team. The office is organized within the IT Planning unit, which also consists of experts, project managers, IT procurement, and quality management.

RESPONSIBILITIES

As an administrator, you will support the IT department's managers, management groups, and overarching steering groups with planning, coordination, and preparations for meetings, minute-taking, and the creation of presentation materials. You will handle incoming matters and referrals and ensure proper case management for the department. Within your area of responsibility, you will identify efficiencies and can propose improvements to facilitate administration for the department's managers and employees to enhance quality and achieve good results.

We are looking for you who have:

• A high school education in e.g. commerce, economics, law, social studies, or another high school education combined with work experience that the Swedish Prison and Probation Service deems relevant
• Experience working as an administrator, executive assistant, or in another supportive administrative role that the Swedish Prison and Probation Service deems relevant
• Work experience and good habits in taking meeting notes and minutes during meetings
• The ability to express yourself well in spoken and written Swedish
• Good knowledge of the Office suite

It is advantageous if you have:

• Work experience in preparing presentation materials and compiling documentation for meetings
• Work experience with case management systems
• Work experience with record-keeping
• Work experience in project administration
• Work experience in financial administration such as preparing requisitions and approving invoices
• Work experience in public service or a larger organization
• The ability to express yourself well in spoken and written English
