Responsibilities

As a Customer Service Representative at WINOA, you will have a central role as the link between our customers, sales team, production facilities, and external logistics partners.

  • Customer Management & Sales: Act as the point of contact for your customers via phone and email. You will be responsible for direct sales to a smaller customer portfolio, which includes preparing quotes, negotiating prices and delivery times, as well as handling simpler technical recommendations and customer disputes.
  • Order and Delivery Management: Receive and enter customer orders into our ERP system. You will organize and follow up on deliveries from the warehouse to the customer with our shipping partners, ensuring that all necessary legal documentation is correct and that the process complies with applicable legislation.
  • Administration & Compliance: Ensure compliance with corporate regulations by conducting mandatory checks for new customers and orders. Manage shipping invoices, administer documents (e.g., invoices, delivery notes, and analysis certificates), and be responsible for administrative tasks in local systems (e.g., setting up new customers and export documentation).
  • Proactive Customer Service: Conduct proactive follow-up calls, collect and deliver reliable sales forecasts to production and Supply Chain.
  • Depot Relations: Follow up on inventory status, shipments, and deliveries in our depots and assist with accurate lead times to customers.

Qualifications

We are looking for someone with operational experience, preferably from an industrial environment. You thrive in working independently but also appreciate being part of a team.

  • Language: Fluent in Swedish and English is a requirement. Additional Scandinavian languages are a plus.
  • Technology: Good knowledge of the Microsoft Office suite, collaboration tools, and experience working in an ERP system (business system).
  • You are structured, meticulous, and have a very good ability to organize your work.
  • You are an excellent communicator (both written and verbal) and an active listener who values customer satisfaction and teamwork.
