Procurement Coordinator at the Cultural Administration
The Cultural Administration works for a broad arts and cultural life for everyone to participate in. We strive for a sustainable and open city that places culture and art at its center.
The Cultural Administration has approximately 800 employees who mainly work within libraries, cultural centers, museums, and other cultural activities.
Job Responsibilities
Do you want to contribute to a professional, legally secure, and developing procurement process in one of Gothenburg City's administrations? The Cultural Administration is now seeking a procurement coordinator for the finance unit within the Department of Economy, Planning, and Analysis.
The role is cross-administrative and involves close collaboration with operations, other financial functions, and external actors within and outside the city. You are the link between the Cultural Administration and the procurement and purchasing administration, where you collaborate with procurement consultants.
As a procurement coordinator, you are a specialist with a coordinating and developing responsibility, working broadly with all parts of the procurement process. You act as a hub in matters concerning procurement and purchasing, contributing to ensuring quality, compliance with regulations, and the long-term development of the administration's working methods. You support the operations in procurement and purchasing issues and coordinate work in this area within the administration. The role also includes a clear responsibility for educating, guiding, and contributing to increased competence and consensus in the procurement and purchasing process.
You collaborate with several functions working with procurement, finance, and purchasing, both within the administration and within Gothenburg City.
Examples of Job Responsibilities;
- Coordinate the administration's work with framework agreements
- Plan and conduct direct procurements and renewed competitive tenders
- Ensure contract administration and conduct contract follow-ups
- Coordinate and carry out training and competence-enhancing initiatives within procurement and purchasing
- Be the administration's representative in the city's network for procurement and purchasing
- Be the contact person for procurement consultants and in legal matters related to procurement and contracts
Qualifications
We are looking for someone with an academic education in law, economics, procurement, or other post-secondary education that the employer deems relevant. You have several years of experience working with procurement and purchasing according to LOU and have previously worked in roles with coordinating responsibilities.
It is advantageous if you have experience working in municipal or other public sector organizations and if you have worked in procurement and e-commerce systems, such as Proceedo. Experience in contract follow-up, training initiatives, or development of working methods and processes is also advantageous.
As a person, you take initiative and drive your work forward both independently and in collaboration with others. You see opportunities for change and actively contribute to development by creating space for new ideas and improved working methods. You motivate and involve others, communicate changes in a pedagogical way, and handle feedback constructively.
You convey information and ideas clearly and adapt your communication to the recipient, target group, and situation, both verbally and in writing. With a good overall perspective, you see your work as part of a larger context and collaborate with others to create value for the organization. You have an analytical ability that allows you to identify the core of complex issues, see connections, and propose well-founded, solution-oriented suggestions.
