Program Coordinator for a Critical Public Authority

ABOUT THE POSITION

The assignment involves work within one or more area and project programs within one of the authority's divisions. Your division is responsible for the management and maintenance of the authority's various facilities. Together, you are also responsible for the implementation of facility investments and for ensuring the permits and accessibility required.

As a program coordinator, you have an important responsibility to support and relieve the program management primarily with administrative tasks. The assignment entails a significant amount of personal responsibility, which sets expectations for you to independently plan and execute your work and make decisions within your area of responsibility.

The program coordinator is also an important part and information bearer and is responsible for the program's internal communication. Part of this is to ensure and assist in keeping the program's intranet pages updated. In addition to being a support in the program, you belong to a team of other program coordinators in the organization.

We are looking for someone who can start in mid-March, with the assignment lasting at least 2 years. You will be employed by Academic Work and work on assignment for the authority. This position is security classified, and the candidate offered the assignment will need to undergo a security review before the assignment can start.

RESPONSIBILITIES

The program coordinator will support program managers and main project managers and contribute to the program's administrative work by, among other things:

  • Supporting program managers and main project managers regarding the program's internal communication
  • Preparing presentations for steering groups, writing minutes, following up on actions and decision logs
  • Ensuring that reporting from and within the program is done according to the authority's requirements and routines
  • Ensuring that deviations in projects regarding time, cost, and results are reported and followed up to ensure they are addressed

WE ARE LOOKING FOR YOU WHO

  • Have an academic degree in, for example, mechanical engineering, energy, civil engineering, or infrastructure
  • Have at least 1 year of work experience in a similar role, such as program and project administrator, project engineer, or coordinator
  • Have at least 2 years of work experience with MS Office programs such as Excel, Word, and PowerPoint
  • Have very good knowledge of Swedish and English, as both languages are used in documentation and dialogue with colleagues

It is advantageous if you have:

  • A higher education degree of at least 180 credits in, for example, mechanical engineering, energy, civil engineering, or infrastructure
  • 2 years of experience in a supportive/similar role to projects, programs, or lines with actors in the public sector
  • 2 years of experience with project management models (e.g., PPS, PMI, Prince) or project management methodology

  • Flexible and adaptable
