Office Manager

Do you want a key role in an influential organization? We are looking for an Office Manager who wants to work broadly with administration, finance, and coordination. Do you enjoy having many points of contact and varied tasks? Then this could be the role for you!

ABOUT THE POSITION

On behalf of our client, we are now looking for an Office Manager.

As an Office Manager, you will take on a broad role where you support the entire organization with tasks such as handling invoice and order matters, staffing the switchboard, and ongoing administration. You will be a key person in the daily operations and ensure that incoming matters are handled correctly and efficiently. We are looking for someone who is self-driven, flexible, service-oriented, and has an unpretentious attitude. Furthermore, it is important that you enjoy having a central role with many points of contact.

The position is a staffing assignment through Academic Work for an initial 6 months, expected to last long-term with the ambition for permanent recruitment.

JOB RESPONSIBILITIES

Tasks

  • Handle invoice and order matters, including registration and follow-up.
  • Staff the switchboard, receive calls, and forward matters.
  • Ensure that incoming matters via the switchboard and email are distributed correctly.
  • Support the finance department with simpler finance-related tasks, such as handling supplier invoices and coding.
  • Manage simpler office tasks such as ordering materials, being the contact person for cleaning services, flower services, and coffee machines.
  • Keep track of sales emails and act as the contact person for the warehouse.
  • Handle referrals and mailings for the CEO.

WE ARE LOOKING FOR YOU WHO

  • Has post-secondary education in administration, finance, or equivalent work experience.
  • Has experience working in an administrative role.
  • Has a basic understanding of financial processes and simple bookkeeping.
  • Has very good knowledge of Swedish and English, both spoken and written.
  • Has good computer skills and experience with administrative systems and the Office suite.

It is a merit if you have:

  • Experience with business systems and invoice management programs.
  • Previous experience with switchboards or customer service.
