The Community Planning Office in Nässjö is looking for an administrative assistant for the administration. We have a strong drive to achieve our common goals together. We support each other in our daily work and maintain an open, forward-looking dialogue based on our values.

The Community Planning Office consists of about 30 people divided into three units: environment, planning and building, and mapping. The office is responsible for the municipality's work with physical planning, building permits, supervision, environmental and health protection, as well as mapping and measurement activities. A major advantage of the organization is the close collaboration between the units.

RESPONSIBILITIES

In this role, you will work with administrative tasks related to the office as well as parts of or completely independent handling of cases. Examples of tasks include:

  • recording, archiving, and disposal
  • being the responsible registrar for the administration
  • documenting and compiling materials for other authorities and stakeholders
  • administering mailings, responses, and other communication between authorities and stakeholders
  • producing statistical data
  • following up on cases and their flows
  • assisting with the administration of the administration's finances, e.g., invoice handling
  • developing the office's ability to work smartly, efficiently, and innovatively to free up time for core activities
  • communicating with the municipality's residents regarding the office's areas of activity
  • ordering materials and other simpler administrative tasks
  • administering information, such as invitations, protocols, website/intranet.
  • handling mail.
  • staffing the office and monitoring various email inboxes.
  • acting as a link between the administration and the municipal office in certain matters
  • supporting your colleagues by contributing what makes you unique

QUALIFICATIONS

We are looking for someone who has at least a three-year high school education or equivalent. Previous experience in handling and/or administration within public operations is essential for success in this role. It is an advantage if you have advanced education in relevant areas, such as administrative law, municipal law, general law, planning and building law, environmental code, freedom of information, and confidentiality law, or similar legislation related to authorities and administrations that work more closely with the physical environment. Alternatively, work experience that the employer assesses as equivalent.

To succeed in this role, you need to:

  • have the ability to be flexible and adapt to changing circumstances.
  • maintain a stable demeanor in stressful situations, which means keeping a realistic perspective and focusing on the right things.
  • be able to independently organize and plan your work.
  • work according to a clear process, organize and plan your work well, complete what has been started, and meet deadlines.
  • get groups to work out a clear process where needed.
  • have the ability to collaborate and adapt to the needs of the recipient.

A high level of digital maturity, with the ability to work independently and effectively with digital technology, is a prerequisite for handling this role. Our work processes are primarily digital, and we encourage you to actively simplify your workday through smart process flows, digital working methods, and with the help of AI. The job requires good language skills in Swedish, both spoken and written. Finally, we would like you to have experience working with the EDP Vision program or similar case management systems.

We place great emphasis on personal suitability. A driver's license (B) is required.
