The adult reception unit is part of the social services' addiction unit for adults, consisting of three units (one of which has two teams) located in central Uppsala. The operation primarily targets individuals over 21 years old and operates under the legislation of the Social Services Act (SoL) and the Act on Care of Addicts in Certain Cases (LVM).
The addiction units are distributed over 3 floors. There are two receptions, one main reception with phone and one reception with associated urine testing.
The unit has 4 administrators, one of whom is an administrative coordinator, who supports the operation with various administrative tasks.
Your Assignment
The job includes traditional reception work as well as supporting the unit's caseworkers and managers with administrative tasks. These may vary based on needs.
The work is very varied, from being the first point of contact for citizens and other authorities to supporting managers and employees in the daily work of the unit. It also involves working in various systems. As an administrator, you will also work according to current legislation, such as confidentiality legislation.
Other tasks include invoicing, various purchases, archive issues, and support in various systems, such as Lifecare and Cosmic Link. Furthermore, there is collaboration with other administrators in the adult department.
The tasks in this assignment are very varied, and as an administrator, you need to be flexible as the tasks may change based on the unit's assignment.
You will be responsible for:
- the reception, including phone, receiving visitors, mail
- supporting managers/caseworkers in the different units
- inquiries from authorities
- purchases
- invoice management
- archiving/destroying
- procurements
- other support to the operation based on needs.
Your Background
We are looking for someone with a high school education, some form of administrative training, and experience in administrative work. If you have training and experience in public administration, it is considered an advantage. The job requires good oral and written skills in Swedish. You also need good computer skills and proficiency in Microsoft 365. We would like you to have knowledge of Heroma, Lifecare, Proceedo, and Unit4. It is also an advantage if you have good knowledge of the municipality and the organization of social services.
As a person, you need to be service-oriented and flexible based on the situation. You are calm, attentive, and accommodating in your interactions and have the ability to see opportunities in changes. You need to be able to work both independently and in a team, so you should be good at collaborating and relating to others in a responsive and smooth manner.
To succeed in this assignment, it is important that you structure, plan, and prioritize your work effectively. As a person, you understand economic connections and the factors that lead to a balanced economy in the operation. It is also important that you have the ability to enjoy varied tasks and that the days may look different depending on the needs of the operation.
