Administrator at the Swedish Schools Inspectorate

The Swedish Schools Inspectorate has a significant and important societal mission; we strive to ensure that all children and young people receive a safe and equitable education. We do this by reviewing the quality and inspecting all schools in Sweden. The Inspectorate also serves as the host authority for the Schools Appeals Board, which is a court-like authority tasked with reviewing decisions within the education sector. The office for the Schools Appeals Board is located at the Swedish Schools Inspectorate in Stockholm, and its main task is to handle the cases that come to the board. We are now looking for an additional administrator for the office who wants to contribute to our important mission during a specific period. Are you one of them?

The office for the Schools Appeals Board is one of five units within the Department for Operational Support and Legal Affairs at the Swedish Schools Inspectorate's headquarters in Stockholm. The office consists of a head of office, about thirteen lawyers, and two regular administrators. During the period from March/April to September, we experience a high workload as we deal with a large number of cases. To further strengthen our administration, we are now looking for an administrator for a specific fixed-term employment from May to September.

Job Responsibilities

The role of the administrator involves managing various tasks included in the office's administrative mission related to case handling, such as registration, record-keeping, copying, dispatching decisions, and supporting the release of public documents. Additionally, there are tasks related to personnel and financial administration. As an administrator, you will also be responsible for placing orders for the purchase of goods and services, handling related invoicing, and managing mail and packages. All our administrators have daily contact with staff in the office, the head of office, board members, other administrators within the Swedish Schools Inspectorate, and some external contacts. The tasks may also involve providing administrative support to other units within the department as needed.

Qualifications

We are looking for someone who is self-sufficient, communicative, structured, unpretentious, and enjoys taking initiative and working towards solutions to problems. The work is characterized by a high sense of service and the ability to prioritize, often in a fast-paced environment.

You have:

  • A high school diploma, preferably from a business and administration program or equivalent adult education from municipal adult education or a folk high school, or other equivalent education deemed comparable by the employer.
  • Current experience in similar tasks within public administration.
  • Current experience in case handling, record-keeping, and dispatching within public administration.
  • Good ability to express yourself verbally and in writing in Swedish.
  • Good computer skills with proficiency in Outlook, Word, Excel, and PowerPoint.

It is also an advantage if you have:

  • Several years of experience working with administrative tasks within public administration/authority.
  • Several years of experience in personnel and financial administration within public administration/authority.
  • Experience in invoice management.
  • Experience working in one or more of the following data systems: W3D3, Agresso (UBW), SharePoint, and Primula.

Position/Workplace

The position is a specific fixed-term employment for 5 months. We are located in activity-based premises at Sveavägen 159 in Stockholm. Start date in May.
