We are looking for a Documentation Manager within digital information management for Trafikverket (Swedish Transport Administration).

This is a consulting assignment. The location is Stockholm.

The position is full-time.

The assignment involves close collaboration with the client, which places high demands on flexibility and teamwork skills.

The Assignment

The Documentation Manager supports project managers and the associated organization in information management, primarily by structuring and quality-assuring data. Parts of the work are investigative in nature, requiring personal traits such as problem-solving abilities.

Responsibilities

• Guide in systems – structure, metadata, naming conventions, document states, and working methods.
• Generate data from document management systems, maintenance systems, registers, etc.
• Structure data and share it with relevant stakeholders.
• Upload revised data from document management systems, maintenance systems, registers, etc.
• Compare data between different systems and investigate any discrepancies.
• Structure and administer data in maintenance systems.
• Formal review of documents and templates.
• Structure data upon internal receipt.
• Update model-based plan drawings in AutoCAD, simpler apparatus cabinet drawings, and other facility management documentation.
• Identify deficiencies in current working methods and present solutions to the responsible project manager.
• Implement working methods into the business operations.
• Monitor governing documents within Trafikverket related to information management.

Requirements (OBS, mandatory)

• Ability to express yourself both verbally and in writing in English and Swedish.
• Good teamwork skills.
• Ability to work independently.
• Good problem-solving skills.
• A university degree comprising at least 120 higher education credits (hp).
• Worked for at least 1 year in a public client organization as a Documentation Manager within road, rail, or railway assignments. The experience must be no older than 3 years. A public client organization refers to a municipality, region, or government agency that procures and orders projects or assignments. The experience must have been obtained through employment with the client organization or through a direct consulting assignment for the client organization. Experience obtained solely within the framework of a construction contract does not meet the requirement.
• Worked for at least 1 year in the CHAOS database system or an equivalent database system for document management in the public sector.
• Worked for at least 6 months in a digital facility management system for infrastructure management or equivalent business support.

Merits

• You should have at least 1 year of experience working in the CHAOS system.
• You should have at least 1 year of experience working in the GUS-Maximo system.
• You should have at least 1 year of experience working in BatMan.
