Our Operations
The Permit Business Area works for efficient medicines through permits and advice. Through scientific investigations and regulatory management, it is ensured that available medicines, both for humans and animals, are of good quality. Within this business area, there are eight different units, and a total of approximately 370 employees work within permits. It is a knowledge-intensive and development-oriented organization with a high academic level and a fast pace. Our employees have many internal and external contacts and collaborations in relation to our assignments.
Your Responsibilities
You will be based at the Product Information unit. The unit is responsible for product information related to medicines and consists of approximately 45 employees divided into three groups, each with a group manager. At Product Information, you will support the unit's management group with traditional administrative tasks such as meeting coordination, invoice handling, recruitment, and travel arrangements. You will also assist and guide the unit's managers in ensuring that activities regarding the planning, implementation, and follow-up of the organization's decisions, routines, work processes, and strategies are carried out on time in a structured manner. This will constitute approximately half of the total working time. The other half of the working time will be spent working with other units within the business area where there is a need. This may include, for example, support to case handlers, support to unit managers and management groups, and help with coordinating larger meetings. Collaboration with other unit administrators within the Permit Business Area is also an important part of the work. This includes, among other things, being able to serve as a backup for each other in handling both tasks and workload.
Your Background
We are looking for you who have a high school education, preferably with relevant post-secondary administrative education, and at least five (5) years of experience in broad administrative work corresponding to the above-mentioned tasks. You have an interest in and previous experience in assisting with the implementation of new working methods as well as developing administration with the help of various technical and digital solutions or tools. You have good knowledge of Swedish and English in speech and writing, as well as very good knowledge and skills in Office and corresponding software. It is meritorious if you have experience in administrative work from the pharmaceutical industry and/or public sector, and if you have experience in administering large external meetings or conferences with varying meeting formats.

We are looking for you who are service- and development-oriented, thrive with many contact surfaces, and are accustomed to working in close dialogue with several managers and teams. You act with good communication, high integrity, and easily create good relationships and collaborations. As an administrator, you work with many parallel workflows and therefore need to be good at working methodically and efficiently as well as finding good structure and correct priorities. You are accustomed to working with great personal drive and initiative, proactively, and with a focus on finding high-quality solutions within set deadlines. You have a sense of both the big picture and details, are comfortable handling variations in both tasks and workload, and enjoy learning new things. We will place great emphasis on personal qualities.
