About the Unit
The position is located within the General Staff Department, which consists of both civilian and military employees and supports the Chief of Staff at FMLOG in daily leadership. FMLOG will eventually move to the newly built facility, Nytomta, in Solna. FMLOG has building responsibility in the new facility, and the role is placed in Facility Service Nytomta, which is responsible for a broad spectrum of service functions such as caretaking, local cleaning, logistics support, visitor management, car and bike pools, archives and dispatch, restaurant, etc. The operation is under construction and will develop gradually.
About the Role
As a Service Coordinator, you have a central role where administration, coordination, and service meet. You create structure in daily life and follow up on the operation's ongoing processes, such as fault reports, inventory management, and purchasing. You ensure that information in our systems is correct and up-to-date. You possess good administrative skills and experience working in a structured manner, as the work involves purchasing/orders in support systems, handling fault reports, supplementary orders, etc.
The role involves many contact points – you collaborate daily with suppliers, tenants, and colleagues. Furthermore, you answer questions related to logistics and build networks with other logistics functions at the unit or in Nytomta. You identify needs, drive cases forward, and ensure things get done. At the same time, you contribute to developing routines and working methods that create even better structure and quality in the operation.
Main Responsibilities
- Handle and follow up on fault reports until they are fully completed.
- Coordinate purchases and supplier contacts and ensure that orders are correct from the start.
- Keep order on inventories and ensure our systems are accurate and up-to-date.
- Create structure in administrative processes and contribute to improved routines.
- Communicate actively with internal and external parties to drive cases forward and avoid information gaps.
REQUIREMENTS
- Completed upper secondary education or equivalent
- Experience working in a role focused on service and customer interaction
- Experience in previous administrative work
- Ability to express yourself well in both speech and writing in Swedish and English
- Very good knowledge of Microsoft Office

MERITORIOUS
- Experience in facility administration, service, purchasing, or supplier contacts
- Experience working in the Swedish Armed Forces or another government agency
- Experience with systems PRIO, VIDAR, LIFT, etc.
- Valid driver's license (Category B)
