About Us
The Information Governance Unit is a central function in the municipality that supports all committees, boards, and offices in the municipality's systematic information governance work. The unit is organizationally placed under the Department for Citizen Services and Administration, which consists of Väsby Direkt, the Information Governance Unit, and the Committee Administration Unit. Document controllers and archivists work at the Information Governance Unit, led by a unit manager.
About the Role
The Document Controller function is a centralized role. Together with one other Document Controller, you will provide support to three committees. The role also involves supporting and covering for colleagues responsible for other committees when needed.
Your duties include handling incoming documents and managing mail processing. You monitor the committees' functional mailboxes, register public documents, and handle requests for public documents. As needed, you provide case handlers with support in confidentiality assessments. The role also includes creating, distributing, and closing cases, as well as dispatching decisions.
Together with your colleagues, you will also work on quality assurance of our registers and the development of our methods for diary registration and document management in accordance with current legislation and regulations. You support, advise, and train case handlers in the offices on diary registration and document management. The work is varied, developmental, and involves many contacts.
The position is a permanent employment. A background check will be conducted before employment. The position may be security classified according to the Security Protection Act.
Are You the One We Are Looking For?
We are looking for you who have:
- a university or university college education in records management, archives, or other comparable competence acquired through work experience as a document controller or registrar.
- at least two years of experience as a document controller or registrar within public sector operations.
- experience working in diary or case management systems.
- good knowledge of the principle of public access to official documents, the Public Access to Information and Secrecy Act, the Administrative Procedure Act, and the General Data Protection Regulation (GDPR), as well as other legislation governing information management in the public sector.
- very good ability to express yourself in Swedish, both orally and in writing.
It is meritorious if you have:
- experience working in a politically governed organization.
- interest in the digitalization of case management processes.
As a person, you are responsible, meticulous, and quality-conscious. You work in a structured and goal-oriented manner and have a good ability to provide service and build good relationships with others. You have strong pedagogical skills in interactions with others. Since you will work in a team and provide support to office staff, politicians, and citizens, you need to be communicative, calm, secure, receptive, unpretentious, stress-resistant, and have good teamwork skills.
