As a Commercial Assistant at Collen, you will play a central role in our finance and procurement team. Your main responsibilities include administering and preparing the printing, scanning, organizing, and booking of invoices on a weekly basis and as needed. You will ensure that all supplier invoices are received in a timely manner and that refunds/credit notes are updated in the financial system.
Key Requirements
- 3rd Level Qualification in a related field
- 3 years post-qualification experience in a similar role
- Good working knowledge of English, both written and verbal
- Knowledge of MS Office including Excel and Word
Responsibilities
Reporting to the Financial Accountant for Sweden, the key responsibilities of the role include:
- Administer the preparation, printing, scanning, organizing, and posting of invoices on a weekly basis and upon request
- System data entry
- Build a professional rapport with relevant internal and external stakeholders and the wider supply chain
- Ensure all supplier invoices are received in a timely manner and refunds/credit notes are updated accordingly on the respective finance system
- Administer goods received notes (GRN) to ensure all invoices are up to date
- Research and resolve discrepancies in a timely manner
- Assist with the general administration duties of the department and as required
- Promote & foster the company core values and a culture of wellness at work
- Handle internal and external communication with a high degree of professionalism and confidentiality
- Work collaboratively with the finance & procurement team to support operational excellence and compliance
- Good working knowledge of general data protection regulation (GDPR)
The ideal candidate will be articulate with good numeracy and time management skills. You will possess the ability to work independently and to prioritize tasks, while maintaining good communication and engagement with the wider organization.
