We invite you to apply for the position of Registry Officer (Registrator). Here, you will have the opportunity to contribute to the Education Administration's important mission by developing and ensuring the quality of our case management processes.

The Registry Officer serves as a vital link between the various departments of the administration and between the administration and citizens or other parties seeking assistance with various matters. In an operation governed by transparency and openness, the Registry Officer plays a key role.

The Education Administration in Gothenburg operates municipal upper secondary schools, adult education, vocational higher education, adapted upper secondary schools, adapted adult education (Komvux), as well as study and career guidance.

The Registry Officer is part of the Executive Director's staff within the Administration and Economy Department. This department supports the administration's core operations and is a key resource for contributing to quality and the fulfillment of the Education Board's mission. The department possesses expertise in economy, procurement, real estate, security, as well as information and case management, where the Registry Officer works closely with archivists, lawyers, and board secretaries. Our workplace is located in fine, centrally situated premises on Skånegatan near Korsvägen.

Job Responsibilities

The Registry Officer plays a central role in handling and structuring the administration's public documents. The work is independent, but there is close collaboration within the unit and with the various operations within the Education Administration. You will provide support to managers and administrators, develop routines and guidelines, and provide training within the area.

Your areas of responsibility

  • Mail and Document Handling

    The Registry Officer has overall responsibility for handling and distributing incoming mail, both physical letters and digital emails, to the administration centrally.

  • Registration and Case Filing

    A central part of the assignment is to ensure the quality of the administration's case filing. Gothenburg City changed its case management system to Ciceron during 2025. The Registry Officer acts as the system administrator and plays a key role in identifying working methods that contribute to efficiency and quality.

  • Support and Advisory

    The Registry Officer supports managers, central case handlers, and administrators within the Education Administration. The Registry Officer leads a network of approximately 25 administrators tasked with case management in core operations. The Registry Officer provides support, coaching, and assistance as needed.

  • Board Administration

    The position involves collaboration with board secretaries in preparation and follow-up after monthly meetings with the Education Board. You should also be able to cover for the board secretary in their absence.

Qualifications

We are looking for you who have a university degree or vocational higher education within administration or public administration. You have good knowledge of the principle of public access, the Public Access to Information and Secrecy Act, the Administrative Procedure Act, and GDPR (Data Protection Regulation).

You have experience in administrative work from a municipality or other public authority, preferably from similar assignments involving case management as well as working with support for managers and colleagues.

You have good digital competence, and it is meritorious if you have previous experience working in case and file management systems.

You appreciate order and structure. You have a structured way of working, are meticulous, and have a good ability to drive the work forward independently.

As you have many contact areas, you have a good ability to express yourself well in writing and speech. You are service-oriented, calm, and pedagogical in your interactions with others.
