About the role
The Staffing Coordinator is the hub of Norrlandsoperan's orchestra operations. Norrlandsoperan's symphony orchestra consists of 47 musicians, and it is the Staffing Coordinator's responsibility to ensure that we always have the correct staffing both in the short and long term. Here, you will have the opportunity to combine your administrative skills with strategic planning, service, and collaboration, ensuring that the right competence is in the right place at the right time.
In this role, your primary responsibility will be staffing, but you will also be a key support to the Orchestra Director in the daily operations of the orchestra department. The role involves continuously developing processes related to staffing and administration to ensure we work as smartly and efficiently as possible.
Your main responsibilities
- Plan and staff the orchestra for both short and long-term needs.
- Support the responsible manager in detailed planning and resource allocation.
- Draw up and administer employment contracts.
- Coordinate accommodation and travel for temporary staff.
- Handle documentation for variable payments.
- Scheduling and follow-up in Timewise.
- Administrative support during recruitment processes.
- Ensure that planning complies with current regulations and routines.
About the employment
The position is full-time and permanent, with a 6-month probationary period.
Working hours are 08:00–17:00, but this position operates under flexible working hours. On-call work may occur during weekends if needed.

You work proactively, prefer to stay one step ahead, and can quickly grasp complex planning issues and understand how different parts affect each other, always focusing on delivering high-quality service in every situation. Knowledge of how a symphony orchestra is organized and knowledge of the current collective agreement (Sveriges Yrkesmusiker) are meritorious.
Furthermore, you have a clear service orientation and thrive in a role where you have multiple contact points and are an important support for the operations and for people around you, while being attentive to details and ensuring nothing falls through the cracks.
Qualifications
- Upper secondary education (economics, administration, or social sciences).
- At least 3 years of experience in personnel planning, staffing, or similar tasks.
- Experience with scheduling in operations with varying needs.
- Very good ability to independently plan, coordinate, and follow up on staffing.
- Good knowledge of Excel.
- Experience with working time regulations and relevant rules (SYMF agreement).
- Experience with qualified administrative work with high precision.
- Good communication skills in Swedish and English.
- A B-class driver's license is meritorious.
