Our Operations
The Department of Surgery and Urology has over 450 employees and provides outpatient and inpatient care for patients with surgical and urological conditions. The operations are distributed across nine surgical sections, four wards, one day-care unit, and five clinics. Our mandate includes responsibility for both county healthcare and highly specialized care for national, regional, and international patients. We also conduct research, education, and development.
Your Role
As a Business Administrator, you will belong to the support staff where various functions working closely with the Head of Department and operating across the business are employed.
Your role as a Business Administrator includes among other things:
- Executive support to the Head of Department and Deputy Head of Department
- Managing staffing matters for managers and the support staff
- Economic support to the Head of Department and the financial controller
- Secretary in various meetings – invitations, minutes, memos
- Text production and processing
- Continuous monitoring and coordination of the Head of Department's and the department's various matters
- Document management in the form of diary registration, case handling, and storage/archiving within the department
- Invoice handling and ordering of goods
- Processing and coordinating cases and materials for, e.g., patient complaints, Lex Maria, patient board cases, and contacts with authorities
- Administration of the department's various SharePoint sites and other IT systems
- Assisting with the department's documentation in the document management system DocPlus
- Working in the statistical database SAS to produce reports, etc.
- Data Protection Contact Person and HSA Administrator within the department
- Updating the website
- Offering help and service to the operations together with other administrators
We collaborate within the administrator group, and the work may therefore include certain parts of staffing, schedule management, employment matters, and other tasks.
Your Qualifications
For the role of Business Administrator, a high school education or other education deemed equivalent by the employer is required. You should have experience in providing qualified executive and/or management support in complex organizations; experience in leading your own projects is an advantage. You must have very good knowledge of Swedish, both spoken and written. Very good knowledge of the Office package/SharePoint is also a prerequisite for handling, for example, text documents, presentations, information letters, and monthly follow-ups. It is important that you feel comfortable writing meeting minutes and that you can review and edit materials created by others to ensure they are correct in content and format.
Your Competence
As a person, you are secure, have self-awareness, and have the ability to distinguish between the personal and the professional. Your tasks and daily contact with different people require that you are service-oriented, unpretentious, loyal, and have good collaboration skills. You are proactive, take initiative, and are accustomed to working independently. Additionally, you need to have good prioritization skills, be structured, and have a positive attitude.
