Medical Secretary for Pain Rehabilitation

About the Unit

The Pain Rehabilitation Care Unit (VE) is one of the largest pain rehabilitation units in Sweden, offering interdisciplinary and internationally accredited pain assessment, treatment, and rehabilitation for individuals with activity limitations due to chronic pain. Our rehabilitation puts the patient at the center and involves them actively in their care. The team’s various professional groups possess specialist competencies in their respective fields regarding assessment, treatment, and knowledge of chronic pain and its consequences. We are constantly working to develop our operations. The unit is part of Region Skåne's local pain working group, which actively works with chronic pain and pain caused by neck trauma.

We engage in teaching, education, and development within the field of chronic pain. The unit also includes a children's and youth pain clinic, and the National Quality Register for Pain Rehabilitation (NRS) is part of our operations. We have approximately 70 employees at the unit, including eleven medical secretaries and one receptionist. At our clinic, we meet patients for assessment in multidisciplinary teams and for individual visits. We also have pain management programs where we work in interprofessional teams, with medical secretaries playing a key role in the care process.

Responsibilities

As a medical secretary here, you will work with referral handling, monitoring, and booking of doctor's appointments. Your duties also include reception work, diagnosis registration, printing of letters, certificates, and journal notes, as well as registration in our quality register, NRS. We use speech recognition (TIK), Callguide, and 1177 in our daily work. We are constantly broadening our digital working methods and increasing the use of 1177 in our contacts and case management with patients.

We distribute tasks based on knowledge and interest, and there are opportunities for varied tasks with deeper involvement and responsibility. There may also be opportunities to eventually support the manager with coordinating administrative work and support functions within the unit.

As a new employee, you will receive a comprehensive introduction and a mentor to help you learn our flows and working methods. In your work, you contribute to a workplace where continuous improvement is part of the job, and you are involved in the development work available at the unit.

Qualifications

We welcome you if you have education in Health and Social Care Administration (80 credits KY or 400 credits YH) or equivalent secretary training. You master medical terminology and have good knowledge of the Swedish language, both spoken and written.

It is meritorious to have experience documenting in the medical record system Melior and experience booking in Pasis. Furthermore, we view experience from similar outpatient care operations, as well as registration in quality registers or other systematic data collection, as meritorious. If you have experience producing statistics and knowledge of QlikView and Excel, this is also advantageous. Similarly, experience with production planning, scheduling, and working with different care flows is beneficial.

As a medical secretary here, you are an important part of the operation. We are looking for someone who enjoys teamwork and understands patient flows and processes. It is meritorious if you have experience leading teams and improvement work. We see that you are innovative, interested in change work, and have the ability to independently plan, organize, and prioritize your work. It is important that you understand the process behind well-organized flows and program schedules, and that you are meticulous and have good communication and reporting skills.
