NAISS (National Academic Infrastructure for Supercomputing in Sweden) provides large-scale computing resources, storage, and data services for academic users. NAISS is a center of excellence hosted by Linköping University and has 12 partner universities across Sweden.

Mimer AI Factory is Sweden's national AI Factory and part of the European network of AI Factories supported by the EuroHPC Joint Undertaking. Our mission is to accelerate the development and use of AI within academia, industry, the startup sector, and the public sector by offering advanced AI infrastructure, expert support, training, and secure data environments.

Mimer collaborates closely with universities, research infrastructures, innovation environments, and European partners. We are now looking for an Executive Assistant / Project Manager who will play a central role in supporting Mimer's leadership and ensuring efficient coordination and implementation of operations.

About the Job

As an Executive Assistant/Project Manager, you are a key part of the AI Factory and NAISS organization and administration. This is a broad and varied role at the intersection of operational activities, coordination, administration, and project management. You work closely with the director and the management group, contributing to the efficient functioning of operations in a dynamic and rapidly growing environment.

The role combines qualified executive support with operational coordination and project management. You help create structure, maintain momentum in operations, coordinate activities between teams and partners, and ensure that decisions and activities are followed up and implemented.

You will become an important part of a national initiative operating in an international environment at the forefront of Europe's development in AI and digital infrastructure.

Responsibilities

  • Provide operational and administrative support to the director and management group
  • Coordinate meetings, planning activities, reporting processes, and follow up on activities and deliverables
  • Support the management and administration of national and EU-funded projects
  • Coordinate contacts with partners, companies, public organizations, and other stakeholders
  • Support the planning and implementation of workshops, conferences, training, and community activities
  • Maintain project documentation, collaboration platforms, contact lists, and coordination tools
  • Contribute to communication, onboarding, travel coordination, logistics, and other operational activities

Other administrative tasks within NAISS may occur, such as planning and preparation for visits and guided tours, as well as financial administration.

Qualifications

Requirements

  • Relevant university degree
  • Several years of experience as a Leadership Coordinator/Executive Assistant, Executive Assistant, or in a similar role.
  • Documented experience in project coordination, operational support, administration, executive support, or similar roles
  • Very good ability to organize workflows, maintain project documentation, and follow up on progress in teams with multiple collaboration partners
  • Ability to handle many parallel activities in a structured manner
  • Very good communication skills in Swedish and English, both verbal and written
  • Very good ability to work independently and proactively

Merits

  • Experience from public sector operations or research and innovation environments
  • Experience with EU-funded projects (e.g., Horizon Europe, EuroHPC, or Vinnova)
  • Background in AI, data science, HPC, digital infrastructure, or similar technical environments (understanding rather than expert knowledge)
  • Experience in qualified executive support
  • Experience coordinating events, workshops, or external collaboration activities
  • Experience with digital collaboration and project tools

Your Workplace

You will work at NAISS, which currently consists of 54 people, in close collaboration with your colleagues in the administrative unit. This unit consists of administrators, economists, communicators, and other staff functions. Your direct supervisor will be the NAISS Division Manager, who is also the Unit Manager for the administrative unit. Your focus will be to provide administrative support to the AI Factory, which is a new initiative at NAISS. The AI Factory is in its startup phase and growing rapidly, offering good opportunities for professional development.

About the Employment

Permanent position, full-time 100%.

The position involves a role as a Coordinator.

Start date as soon as possible or by agreement.

The position may be subject to security classification. If so, a security investigation with register check will be conducted before a decision on employment is made.
