Sub-Project Manager Documentation – Stockholm

We are now looking for an experienced and driven Sub-Project Manager Documentation for long-term consulting assignments within technical investment projects and plant operations in Stockholm.

In this role, you work at a strategic level with overall responsibility for document coordination and technical plant documentation in complex project environments. You will lead, drive, and specify requirements for documentation sub-projects, acting as the link between the project organization and the maintenance operations.

Location

Stockholm, with work taking place regularly at various sites and facilities within the region.

About the Role

As Sub-Project Manager Documentation, you are responsible for ensuring that all activities within the project's documentation process are carried out according to requirements, schedules, and current standards. The role involves close collaboration with project managers, technical sub-project managers, maintenance teams, contractors, and suppliers.

You play a central role in ensuring that technical documentation maintains high quality and is manageable throughout the entire project lifecycle.

Responsibilities

• Develop requirement lists, budgets, and time/resource plans for the project's documentation deliverables
• Create documentation plans and document lists
• Develop instructions for technical documentation in collaboration with project management
• Plan and coordinate documentation deliverables against project milestones
• Support technical sub-project managers with documentation issues
• Search and manage relevant documentation in digital and physical archives
• Ensure final documentation is delivered according to specifications
• Responsible for deliveries to the maintenance system IFS
• Train the project organization and contractors on documentation requirements
• Ensure the correct templates, number series, and routines are used in projects

Reporting and Daily Management

• Lead and drive documentation work according to the project plan
• Ensure the documentation plan covers all technical sub-projects
• Plan and lead review processes for documentation deliverables
• Collaborate with BAS-P/BAS-U regarding work environment-related documentation
• Report status and deviations to project management
• Manage the documentation budget and inform of changes
• Define roles and responsibilities for internal and external resources within the documentation area

Authority

• Implement decisions made by project management and the steering group
• Participate in decisions regarding project-specific documentation issues together with responsible functions

Required Qualifications

• Technical university degree
• Good knowledge of technical documentation and drawing management
• Experience in similar assignments within technical documentation or plant projects
• Good proficiency in Swedish and English, both spoken and written
• Valid driver's license (Category B)
• Ability to undergo security clearance as work may take place at security-classified facilities

Preferred Qualifications

• Several years of experience in project or sub-project management within technical plant documentation
• Experience working in large investment or industrial projects
• Experience with IFS or similar maintenance systems
