We are now looking for a structured and driven Document Administrator for an exciting assignment in an international and technically advanced operation. This role is perfect for you who thrive in a coordinating function where you work closely with various parts of the organization and contribute to high quality in documentation, processes, and information management.

In this role, you will work with coordination regarding handover reviews, follow-up of actions, meeting structure, and ensuring that documentation maintains the right quality and is available in relevant systems and processes. You will become a key part of creating order, structure, and clarity in projects and deliveries.

The role involves many contact points and requires good collaboration skills as well as the ability to drive issues forward in dialogue with both technical and administrative functions.

About the Role

As a Document Administrator, you work with coordinating and supporting documentation flows related to projects, deliveries, and technical processes. You ensure that information is correct, up-to-date, and traceable in different system environments.

Duties may include, but are not limited to:

  • Coordination of handover reviews and document deliveries
  • Planning and follow-up of meetings, actions, and deadlines
  • Administration and quality assurance of technical documentation
  • Follow-up of data quality and structure in various systems
  • Support regarding spare parts, material registration, and article management
  • Collaboration with project management, engineering, purchasing, and other internal functions
  • Contribute to improvement work within processes and information management
  • Management and updating of documents in PLM and business systems
  • Creation of simple reports and follow-up in tools such as Qlik and Excel

Who We Are Looking For

We are looking for you who have:

  • Experience in document administration, coordination, or similar administrative roles in a technical environment
  • Good familiarity working in SAP and/or PLM systems
  • Experience with Teamcenter, PLM360, or similar systems is an advantage
  • Good knowledge of Microsoft 365, especially Excel, Outlook, and Teams
  • Experience with data quality, information management, or process improvement
  • Ability to work in a structured manner and keep order across multiple parallel activities
  • Good communication skills in Swedish and English
