Job Description

As a Course Administrator, you are responsible for the administration of the faculty's educational programs. You work closely with colleagues in administration and the faculty's teachers, and have extensive contact with students from various programs and courses. A large part of the work is performed in administrative systems. The role involves collaborating with program directors, subject coordinators, program coordinators, course directors, and other teachers to ensure that the administration of the faculty's programs and courses is carried out optimally.

The work also involves independently handling educational administrative matters such as: course and program administration, registration, result reporting, updating course offerings in various databases, study follow-up, handling course materials, exam administration, information and administrative service to students, teachers, and other staff. In addition to course administration, other faculty-wide tasks not directly linked to the Course Administrator role may also be included.

The tasks vary in scope and complexity, but primarily you will:

  • Work with the faculty's course instances in Ladok
  • Be responsible for the administration of the faculty's exam instances in Inspera
  • Inform about opportunities for exchange studies within the framework of the faculty's agreements under Erasmus+
  • Administer upcoming exchange periods for outgoing students within the framework of the faculty's agreements under Erasmus+
  • Administer incoming students within the framework of the faculty's agreements under Erasmus+

Other potential tasks include:

  • Work with the faculty's courses in the learning platform Studium (Canvas) and case management in Ladok
  • Perform course registration, result reporting, reserve admission, and exam administration
  • Be responsible for scheduling and coordinating bookings for exam instances

The administrative systems you will work with are primarily Ladok, Inspera, and MoveOn, but Studium (Canvas), NyA, and DiVA may also be relevant.

As a Course Administrator, you are expected to continuously update your skills within your field of work. You should be able to familiarize yourself with various issues and contribute to creating routines and finding solutions that facilitate and develop our operations.

Qualifications

We are looking for someone who has:

  • A university degree or equivalent competence
  • Current and documented work experience in educational administration from a university or higher education institution

  • Experience working with the administration of student exchanges under Erasmus+
  • Experience working with the university's study administrative systems Ladok, Inspera, MoveOn, Studium (Canvas), TimeEdit, and NyA
  • Very good ability to express yourself in Swedish and English, both orally and in writing

Since contact with teachers and students is central to the work, great importance is placed on service orientation, responsibility, and good collaboration skills. You have an interest, willingness, and ability to help others and strive to deliver solutions. You also adapt easily to changing circumstances and see opportunities in change. It is important that you are unpretentious, flexible, and stress-resistant, as the role is broad and you need to be able to handle varying tasks, sometimes with short notice. Organizational skills and the ability to prioritize are also important traits. The workload varies throughout the year, and you need to be able to work independently and handle controlled and structured work during peaks, as well as the ability to drive and plan your work yourself during calmer periods. As a person, you need to be outgoing and communicative. Furthermore, we are looking for someone who is driven and enjoys close collaboration with others.

Great importance will be attached to personal suitability, such as very good collaboration skills and a flexible and self-initiating work approach.

In this recruitment, the University will primarily consider the candidate who, after a qualitative overall assessment of competence and skill, is judged to have the best prerequisites for carrying out and developing current tasks and contributing to a positive development of the operations.

The person employed is expected to have their main working hours located at the faculty.

Salary: Individual salary setting applies.

Start date: 2026-08-01 or as agreed.

Type of employment: Fixed-term employment until 2027-03-05
