About the role
Olink - Part of Thermo Fisher Scientific has grown explosively in recent years and has made its mark globally in a short time. In the role of Office Manager, you will be part of the Global Facility Management & EHS team, which consists of six people and is characterized by a strong team spirit, clear communication, and a shared drive to constantly improve operations. Together, you work to ensure a safe, functional, and inspiring workplace.
You will have a central and varied role where you are responsible for coordinating, developing, and following up on office services. In practice, this means you play a key role in making the daily office life run smoothly, from ensuring that suppliers deliver according to contract to supporting the business with everything from minor issues to major changes in the office environment. A typical day might involve handling incoming office-related matters, such as broken equipment or the need for renovations or adjustments to the premises, where you are responsible for coordinating the right resources and following up to ensure the work is completed. You maintain ongoing contact with suppliers for services such as cleaning, reception, waste management, and catering, ensuring quality, cost-efficiency, and good documentation. You also work closely with the business and serve as a support in workplace-related matters, contributing structure, follow-up, and clear communication. The role also includes responsibility for planning and coordinating events and activities, as well as ensuring that the office environment is pleasant, functional, and aligned with the business's needs.
In addition to operational work, you are expected to have a forward-looking perspective, identifying areas for improvement and driving initiatives to develop and streamline Facility Management services. You collaborate closely with internal expert functions and build a broad network, while having the opportunity to influence and develop working methods over time.
This is a consultancy assignment, meaning you will be employed by Academic Work and work as a consultant at Olink. The assignment will be full-time and is expected to last at least until June 2027. There may be opportunities for extension and permanent hire, provided there is room for it and all parties are satisfied with the collaboration.

Key Responsibilities
In the role, you will among other things:
- Be responsible for documentation, communication, and follow-up related to contractors, suppliers, and consultants to ensure high quality
- Follow up on deliveries and ensure contracts are adhered to, acting as the contact person during dialogue and discrepancies
- Support the business in Facility Management-related matters, including cost and budget follow-up
- Coordinate and quality-assure office services such as reception, cleaning, waste management, catering, and other services
- Receive, prioritize, and handle incoming matters, ranging from simple office questions to larger premises adjustments
- Ensure that the right matters are escalated internally and followed up until resolved
- Plan, book, and coordinate events, meetings, and activities related to the office
- Work proactively to develop and improve Facility Management services and working methods
- Ensure that waste management runs smoothly, efficiently, and in accordance with current guidelines
- Collaborate closely with internal functions and build long-term relationships with external suppliers
We are looking for you who
- Have at least a high school education
- Have experience from service occupations
- Have experience in administration and coordination
- Are very comfortable with the Office package
- Have good system familiarity and find it easy to learn new systems
- Are very comfortable with Swedish and English in both speech and writing, as this is required to perform the job
It is meritorious, but not a requirement, if you have
- Experience from a similar role
- Experience of line management or responsibility for suppliers within, for example, cleaning or office services
- Post-secondary education in, for example, property, security, or economics
Most importantly, your personality
You are a communicative and solution-oriented person who thrives in a role with many interfaces. You work in a structured and independent manner, while also having good collaboration skills and an egalitarian approach. You have the ability to handle multiple tasks in parallel and are skilled at prioritizing and driving work forward. Furthermore, you have a proactive working style and a desire to constantly improve and develop both processes and working methods.
