Our goal is to provide Europe's best assessment and treatment for individuals with ADHD, Autism, and other psychiatric conditions. Today's psychiatry is often characterized by traditional methods and a slow pace of work, where technological advancements and patient needs rarely take center stage. Many patients struggle to navigate the complex public system or turn to large healthcare providers where they risk becoming just another anonymous number. We have chosen to do things differently by placing the patient at the center and offering psychiatric care with five-star service. Our strategy is built on patient experience, quality, and efficiency, utilizing modern technology and innovative working methods to continuously improve and develop our operations.

Our dedicated team is the core of our business and consists primarily of psychologists, doctors, and nurses. Nova was founded in 2024 and currently has over 50 employees – and we are growing rapidly. About the Role

We are looking for a Patient Coordinator who wants to contribute and make a difference in a rapidly growing company with high ambitions – for its patients and its employees.

As a Patient Coordinator at Nova, you are often the first point of contact a patient has with us. How you greet them, answer their questions, and guide them correctly has a direct impact on whether they choose us – and how they perceive us from day one.

You will be part of a coordination team where you work closely together and support each other in daily life. The position is based at our office on Östermalm in Stockholm.

Your Mission

As a Patient Coordinator at Nova, you are often the first point of contact a patient has with us. How you greet them, answer their questions, and guide them correctly has a direct impact on whether they choose us – and how they perceive us from day one.

Your Main Responsibilities:
  • Handle and coordinate the booking process for assessments and medication
  • Communicate with patients via phone, email, and chat with high quality, clarity, and precision
  • Ensure correct handling and follow-up of referrals and bookings
  • Handle internal administrative matters and drive them to completion
  • Contribute to the smooth and structured operation of the reception and office in daily life
Who We Are Looking For

We are looking for someone who is meticulous, structured, and enjoys taking responsibility. You have an easy time communicating with people in various situations and understand that every patient contact is important – both for the patient and for Nova. You do not need extensive experience – the most important thing for us is who you are, not what you have done previously.

As a person, you are:

Professional and relationship-building - You understand that every patient contact is important and communicate confidently even in sensitive situations.

Communicative and clear - You express yourself clearly in speech and writing and ensure that nothing falls through the cracks.

Digitally confident and system-oriented - You quickly get up to speed with new systems and see technology as a natural aid.

Thrives in a fast-paced environment - You have a conscious structure for handling many parallel cases, reprioritize when necessary, and ask for support at the right times.

Curious and engaged – You want to understand what Nova offers and can naturally guide patients to the right choices for them.

In addition to these personal qualities, you communicate fluently in Swedish and English, both spoken and written. It is an advantage, but not a requirement, if you have one year of experience in customer service, coordination, administration, or a similar role.

Salary

28,000–32,000 SEK/month depending on experience.

  • Tests: As the next step in the recruitment process, you will complete two psychometric tests, which take 15–20 minutes in total. These help us objectively and fairly assess all candidates.
