RESPONSIBILITIES

Do you want to contribute to legal security and quality in the work of the social services? Work and Welfare at Växjö Municipality is now seeking a careful and structured Registrar/Administrator for the Operational Support Unit. The position is a permanent full-time role involving a split function where you work 50% as a registrar and 50% as an administrator.

You will become part of a competent and knowledgeable team working together to support the various operations of the administration. The Operational Support Unit has a central and important function within the administration and works closely with both managers and employees.

In the role of registrar, you are responsible, together with the administrative secretaries, for mail handling including digital inboxes, registration (diarization), and case handling. You will also work with board and committee administration, archiving, and the release of public documents. If needed, you may serve as a substitute for board secretaries at meetings.

The administrative part of the role is operationally focused and includes, among other things, invoice handling, personnel administration, and client-related registrations. Depending on your previous experience and competence, the administrative tasks may be adapted to the needs of the operations.

The work is varied and requires independence, responsibility, and the ability to handle several parallel tasks. You need to be flexible and easily adapt to the needs of the operations. The role involves many points of contact and requires a structured and careful working style, as well as a good sense of service towards both internal and external contacts.

The work is governed by several laws and regulations, including the Local Government Act, the Administrative Procedure Act, the Public Access to Information and Secrecy Act, the Archives Act, and the Social Services Act. Work in an archive environment may periodically involve physically demanding tasks.

QUALIFICATIONS

We are looking for someone with relevant academic education or post-secondary education with a focus on, for example, political science, public administration, administration, or archival and information science, or other education deemed equivalent by the employer. You must have at least two years of experience in administrative case handling and good knowledge of document and case management as well as working according to the principle of public access to information. You must have a good understanding of the Public Access to Information and Secrecy Act and the Administrative Procedure Act, and be accustomed to working in digital systems.

You must have excellent knowledge of Swedish and be able to express yourself well in both speech and writing. Knowledge of English is an asset. It is also an asset if you have experience working within the public sector and an understanding of how a politically governed organization functions. Experience from the social services area and with the systems Lifecare and Ciceron is also considered an advantage, as is previous work as a registrar or within public authority execution.

As a person, you are structured, careful, and responsible. You are self-reliant, unpretentious, and have a good ability to prioritize among varying tasks. You are service-oriented, collaborative, and thrive with many points of contact.
