About the Role
As an Administrator at the authority, you will replace a regular employee on parental leave and work as support to the department head, unit managers, and department staff, as well as your colleagues in the secretariat. The tasks of an Administrator are varied and may include handling travel bookings, survey distributions, departmental orders, meeting and conference bookings, and simple personnel administrative tasks. In addition, you will collaborate with colleagues in the secretariat responsible for system administration and controlling, as well as independently managing one of the department's systems.

Key responsibilities will primarily include, but are not limited to:
- Booking and planning conferences, both internal and external, of varying sizes.
- Managing the introduction schedule for new employees.
- Personnel administration: The Department Administrator is responsible for assisting with reporting sick leave for employees when needed.
- Supporting other colleagues in the secretariat with their tasks – system administration, controlling, etc.

The department is responsible for the procurement and management of state framework agreements. The number of employees is approximately 75, distributed across four units and a secretariat of four persons who report directly to the department head.

Contract Period and Scope
The Administrator position is a full-time consultancy assignment starting as soon as possible, but no later than May 15, 2026, to ensure a smooth handover. The assignment is expected to last for 12 months with the possibility of extension for an additional 6 months.

Work will primarily be performed at the authority's office in central Stockholm.

Requirements for the position:
• High school diploma or equivalent education
• Very good knowledge of MS Office or equivalent
• At least three (3) years of work experience as an administrator/assistant
• Ability to communicate fluently in Swedish and English, both verbally and in writing
• Knowledge of survey tools
• At least one (1) year of experience from the public sector

Preferred qualifications:
• Post-secondary education in a field relevant to the assignment.
• Experience working with procurement issues and supplier contacts.
• Experience in system administration of digital systems, system support, and good IT competence.

About You
We are looking for someone with previous experience of similar tasks who enjoys structure and order. You are communicative, unpretentious, have good collaboration skills, and can quickly get up to speed with new tasks. We also value your ability to understand and independently work with new system supports.
