About the Job
The role of a Registrar involves registering cases, training groups in registration procedures, supporting operations in their digitalization efforts, and ensuring the quality of registration processes. In the long term, the role will increasingly focus on ensuring that operations comply with legal requirements and providing more extensive training. As we are a small team, the work requires flexibility and the ability to adapt to changing needs on a daily basis.
As a Registrar at the Swedish Transport Agency, you are the hub of the network. Together with your colleagues, you ensure that the agency's documents are handled according to current legislation regarding the registration and release of public documents. On our unit, we drive an initiative where the central registry collaborates across locations to achieve a high level of consistency and legal security. Central registries are located in our main cities: Norrköping, Örebro, and Borlänge. You will hold a very central role within the agency and gain insight into many different exciting areas.

Your Responsibilities
- Ensure that documents created or received via post or email are registered and handled according to applicable laws, regulations, and internal procedures.
- Perform routine tasks within archives.
- Classify documents in accordance with the agency's classification structure.
- Receive and handle inquiries from the public regarding the release of public documents.
- Train and guide case handlers and groups in registration procedures and create training materials.
- Respond to referrals concerning management within your area of work.
- Continuously work with quality follow-ups and participate in finding new, efficient ways of working.
Requirements
- Completed upper secondary education.
- Good knowledge/experience of the laws and regulations governing the release of public documents within public administration.
- Current experience as a Registrar or experience with tasks deemed equivalent by the employer.
- Very good ability to express yourself well orally and in writing in Swedish.
- Good ability to express yourself well orally and in writing in English.
Merits
- Certified Registrar or equivalent education.
- Experience in training groups.
- Experience in independently driving work forward within a specific area.
- Experience with digitalization, where you have had to understand and contribute to digital flows and efficiencies.
- Current experience working within state administration.

More Information
The employment is permanent with a location in Norrköping. Appointment will be made as agreed. We normally apply a probationary period.
Employment with us may involve placement in a security class. A security clearance with register control according to the Security Protection Act (2018:585) may therefore be conducted. For some of our tasks in a security class, Swedish citizenship is required.

About the Swedish Transport Agency
Number of employees: Approx. 2000.
Areas of operation: The Swedish Transport Agency works to achieve good accessibility, high quality, safe, and environmentally adapted transport within rail, aviation, maritime, and road transport. We develop regulations, grant permits, and monitor compliance. With the help of our registers, we work with fees, permits, and changes of ownership, among other things.
Locations: We have employees in 12 locations across the country. The largest part of the operations is located in Borlänge, Norrköping, and Örebro. The headquarters is in Norrköping.

About the Legal Department
The Legal Department consists of five units. The legal units direct and support the agency's various departments on legal matters, and the Registry unit is responsible for the registry, reception, and switchboard. We are present in several locations. Our main location is Norrköping.
We contribute to a unified and efficient handling of the Swedish Transport Agency's needs for management and support in legal matters and linguistic issues within regulation. We provide management and support in registration, ad acta, archiving, pass card handling, visitor reception, and the switchboard.
