Nationalmuseum is a government agency with approximately 160 employees tasked with promoting art, art interest, and art science. The museum's collections include paintings, sculptures, drawings, and graphics from the 16th century to the turn of the 20th century, while the collections of applied arts and design, as well as portrait art, extend to the present day.
The collections are displayed in the main building on Blasieholmen, Stockholm, and at around 20 other visitor sites including Gripsholm Castle, Läckö Castle, Nationalmuseum Jamtli in Östersund, and Gustavsberg Porcelain Museum. Nationalmuseum also conducts exhibition, program, research, and publication activities as well as lending activities. We strive to be a museum where everyone can feel welcome and offer a wide range of activities both on-site and digitally. By providing contemporary perspectives on history and historical perspectives on the present, we create opportunities for in-depth conversations about art and design for all ages.
Nationalmuseum is looking for a booking and staffing coordinator who can see both the strategic whole and the people involved. The role involves planning, staffing, and follow-up of public activities with a focus on quality, smooth administration, and the best possible visitor experience. The role has a supervisory responsibility for scheduled staff. You will report to the educational manager and be part of a smaller team for booking and ticket management.
Nationalmuseum conducts extensive public activities with tours, school programs, studio activities, lectures, seminars, and collaborations. We are now looking for a booking and staffing coordinator with operational and strategic responsibility. Together with your colleagues in the booking and ticket team, you will serve as a hub in the museum's public activities.
The tasks require good administrative skills, experience with booking, staffing, and scheduling programs, and strong communication skills. The work is based on Nationalmuseum's mission, strategic goals, vision, values, visual profile, and graphic program.
Examples of tasks
- Coordination of work within the booking and ticket function.
- Overall scheduling and staffing of educational activities.
- Structuring and further developing routines and processes for booking and staffing.
- Quality-assuring planning to avoid conflicts and use resources efficiently.
- Following up on operations through statistics, analysis, and reporting.
- Coordinating the handling of administration and invoicing documentation related to completed activities.
- Contributing to internal and external communication regarding educational activities.
Requirements:
- Completed upper secondary education.
- At least three years of experience in booking administrative work or equivalent coordinating function.
- Documented ability to lead and structure work.
- Ability to work solution-oriented and maintain an overview during high-tempo periods.
- Documented experience of working in booking and staffing systems.
- Experience in scheduling and staffing.
- Experience in follow-up, statistics, and administrative reporting.
- Good organizational and analytical skills.
- High level of service and professional demeanor.
- Good knowledge of Swedish and English in both spoken and written form.
- Clear and confident communication.
Meritorious
- Relevant post-secondary education in humanities, cultural administration, pedagogy, or communication.
- Experience in formulating specifications for procurement and development of digital systems.
- Experience from the cultural sector, museums, or public activities with educational and public programs.
- Knowledge of additional languages beyond Swedish and English.
