Mid Sweden University has a long tradition of education, research, and collaboration in sports-related fields and continues to develop its sports profile. The Sports Academy at Mid Sweden University is an overarching umbrella organization that coordinates, drives, and develops the sports activities across the university. Since 2018, Mid Sweden University has been designated as a National Sports University by the Swedish Sports Confederation, which is the highest level in Sweden regarding sports science research and education, as well as the combination of elite sports and studies.
Mid Sweden University aims to strengthen and make existing sports-related education, research, and collaboration with businesses and other actors more sustainable and long-term, as well as to involve more parts of the university in the activities. A strong profile towards winter sports and parasports, an area where Mid Sweden University can and wants to be a role model nationally and internationally in research and accessibility, is also being further strengthened.
We are now looking for a project coordinator who will play a central role in coordinating, planning, and implementing an international student sports forum, the FISU World Forum, in August 2026.
This is a global forum that gathers students, representatives from universities, student sports federations, and sports leaders from around the world for five days in Östersund, where academic sessions, cultural programs, and sports activities are interspersed.
Currently, there is a project manager working on the project until early June, after which they will go on parental leave. An operational project organization has also been appointed.
Job Responsibilities
As the project coordinator for the FISU World Forum, you will have a central and coordinating role in the project. You will work closely with staff in core operations, students, and colleagues within your own department and other parts of the university's administration. The work will be carried out in close collaboration with FISU and in accordance with their regulations, guidelines, and established deadlines. The role also involves ongoing contact and collaboration with the project's external stakeholders.
You are responsible for establishing, developing, and maintaining good relationships with project staff both within Mid Sweden University and externally. The position entails overall responsibility for project coordination, which includes planning, coordination, administration, and follow-up of the various parts of the project. The role also includes responsibility for coordinating and administering the accreditation process according to FISU's system, participant services, visa and diploma administration, as well as coordinating programs, speakers, and ceremonies according to established protocols and guidelines.
The work requires good organizational skills, structure, and meticulous documentation, as well as the ability to independently drive tasks forward. You need to have a strategic perspective while also being able to work operationally in close collaboration with various partners. A significant part of the work will be conducted in English, which requires very good communication skills in both spoken and written form.

Your Background
We are looking for someone who has:
- An academic degree in project management, event management, or another education that the employer deems equivalent.
- Documented experience in leading, planning, coordinating, and executing larger events with at least 100 participants.
- Experience in project management, including planning, administration, follow-up, and reporting.
- Excellent ability to express yourself in both spoken and written form in Swedish and English.
- A valid driver's license (B).
It is advantageous if you have experience working in or with larger and complex organizations, preferably within universities or colleges. Experience in planning and executing academic events, such as academic ceremonies, research conferences, or similar arrangements, is considered particularly valuable. It is also a plus if you have experience working in international environments. Experience in budget monitoring and financial administration is advantageous.

In the role of project coordinator, you are proactive, structured, and relationship-building, with a strong ability to collaborate in teams. To succeed in the assignment, you need to have a clear sense of service and a good understanding of what professional hosting entails.
You work meticulously and independently, with the ability to see both details and the bigger picture. Through good foresight and planning, you stay one step ahead and handle challenges in a solution-oriented and constructive manner.

Employment and Start Date
The position is a temporary part-time employment of 50% of full-time in May and June, 30% of full-time in July, and 70% of full-time in August starting from 2026-05-01 or by agreement, but no later than 2026-08-31.
