HR Administrator at the Swedish Museum of Natural History
The Swedish Museum of Natural History is an extraordinary workplace – here, research, societal benefit, and public activities meet under the same roof, often literally among dinosaur skeletons, world-class collections, and dedicated colleagues.
As an HR administrator with us, you will have a broad and varied role that offers both diversity and opportunities for development. If you want to combine qualified HR administration with exciting and socially beneficial work, this could be the role for you. You will be part of a unit consisting of a total of five people, and you will work in a stimulating work environment where your skills make a real difference, while working in an organization characterized by knowledge, curiosity, and pride in its mission.
RESPONSIBILITIES
The main part of the responsibilities consists of coordinating roles and providing accurate and complete documentation in the payroll system Primula, which is linked to the Swedish Agency for Government Employers (SSC) and is responsible for operational management and system support. The work includes, among other things, registering and communicating decisions regarding employment, salary changes, changes in employment conditions, and termination of employment, as well as approval and follow-up. The assignment also includes handling administrative issues when employing foreign citizens.
An important and significant part of the job is to provide support and guidance to managers and employees on issues related to the government conditions agreement. The role also involves, for example, establishing and managing employment certificates, attestations, and other personnel documents, as well as registering and updating information in the authority's personnel system.
The work also includes other recurring administrative tasks within the personnel area, such as assisting with salary reviews and pension issues, producing statistics, practical handling before new hires, and coordinating the agency-wide introduction day.
QUALIFICATIONS
For the position, a completed upper secondary education and relevant post-secondary education, such as vocational training in the field of HR or payroll administration, is required. You have many years of practical experience in HR and payroll administration as well as experience in personnel issues relevant to the role. Furthermore, very good knowledge of Swedish and English, both spoken and written, is required.
It is advantageous if you have extensive experience in HR and payroll administration within government operations. Experience with the Primula personnel system, preferably in collaboration with the SSC, is also advantageous. Experience in other administrative issues within the personnel area, such as employing foreign citizens and further training in areas such as basic labor law or public administration, is also considered advantageous.
We believe you will thrive in the role if you are service-oriented and enjoy helping others. You meet colleagues and managers in a professional manner, solve problems within given frameworks, and follow routines and regulations. Attention to detail is important; you enjoy order and structure, keep track of details, and ensure that nothing is left to chance. Collaboration is a given for you, and you are happy to share your knowledge, build good relationships, and contribute to a team where everyone pulls in the same direction. You are also structured, planning, prioritizing, and organizing your work effectively, and creating clear working methods that facilitate both for yourself and others.
