The Transport Department (TA) is tasked with transporting and supervising individuals deprived of their liberty. These are the clients of the Swedish Prison and Probation Service who are moved between detention centers and prisons, to court hearings, and hospitals, among other places. TA also transports individuals deprived of their liberty on behalf of the Police, the National Board of Institutional Care, the Swedish Migration Agency, and psychiatry. We are now looking for you to work as a Personnel Administrator at the transport office in Jönköping. TA Jönköping belongs to the Eastern Transport Section, which extends from Nyköping to Kalmar and Växjö. The office in Jönköping currently has about fifty correctional officers and several administrators and caseworkers. The operation is led by a section manager along with two first-line managers.
Interviews will be conducted physically on-site in Jönköping.
JOB DESCRIPTION
Your main task is to support both the correctional inspector and other staff in administrative matters. As a personnel administrator, you will be responsible for managing the transport staff's registrations in Heroma. You will also support the transport staff with operational questions in Heroma regarding, for example, schedules, travel reimbursements, wellness/healthcare, registration of assignments, and other inquiries. The role also includes ensuring that the correct staffing needs are met, managing negotiated schedules, and handling individual agreements according to current routines in cases such as schedule changes.
Furthermore, the role includes handling daily sick and health notifications, updating statistics, monitoring medical certificates, and notifying desired short-term leave to planning.
You will also assist in producing certain HR statistics, order employment contracts for new employees, and manage the administration that arises around short- and long-term schedule management, personnel planning, and forecasts. You will respond to contractual questions from our employees. You also have a special responsibility for inventory and ordering to ensure that our office supplies are equipped with everything from pens to uniform items.
The job involves many contacts with other professional categories. You will work closely with managers in the local management group and the local planning organization. You will also have contacts and collaborate with the security section and the authority's central administrative support as well as the Swedish Prison and Probation Service's service center.

You have good social skills and can interact trustfully with different people, both internal and external parties. Furthermore, you adapt easily to changing circumstances, have a positive attitude, and see opportunities in changes. You are meticulous in your work and plan and organize your tasks effectively. We are looking for someone who is self-sufficient, has good judgment, and can prioritize when necessary.

We are looking for someone who has:
- A complete upper secondary education or other education combined with work experience that the employer deems relevant.
- Experience in personnel administrative work.
- The ability to express yourself well in spoken and written Swedish.
- Good computer skills and good knowledge of the Office suite.
It is an advantage if you have:
- Education in HR or personnel administration.
- Experience in staffing planning/ranking.
- Experience with personnel systems, such as Heroma.
- Experience with financial management systems, such as Proceedo.
- Experience working with collective agreements.
- Knowledge of laws and agreements (labor law, working time regulations, policies, etc.).
