Did you see the crowds at the reopening in Täby, the talked-about Halloween party, or the sparkling Fenty event in Stockholm and wondered who makes the magic happen? 👀
At Lyko, we don’t do things like everyone else. Our next level marketing is about creating events that people talk (and post) about long after they’re over. From PR events and customer activations to collaborations with influencers and brands. We are now looking for our next Event Coordinator: a doer who loves that no day is the same and is ready to give that little extra that creates the WOW effect for events.
Together with our Event & PR Manager, you will be involved all the way: from idea to confetti rain (and yes, the cleanup afterwards 😉), with extra focus on the practical aspects that make our sometimes crazy ideas actually come to life.
What will you do as an Event Coordinator with us?
As an Event Coordinator with us, you are the one who makes it happen. You are the hub that ensures everything flows, from the first idea to the last guest leaving with a smile. You enjoy a fast pace, are solution-oriented, and thrive just as well behind the scenes as in the middle of the event pulse.
With us, you will among other things:
- Coordinate and execute events, PR activities, and customer activations in close collaboration with the Event & PR Manager
- Manage logistics and coordination with suppliers and partners
- Conduct research, purchases, and orders within the set budget
- Keep track of the operational event machinery, from goodie bag packing to booking catering, technology, DJs, and other elements that set the mood
- Coordinate staff, suppliers, and deliveries on-site and ensure everything is there when needed
- Be responsible for guest management all the way: create relevant guest lists based on target audience, send invitations, manage registrations, and drive communication before and after the event
- Contribute creative ideas regarding decor and activities and ensure they actually come to life
- Support the Event & PR Manager at larger events and take responsibility for smaller activations
- Collect reporting, media monitoring, and content created by influencers
- Work according to the established plan and budget, with limited decision-making authority
In practice, one day may involve packing goodie bags or sending out invitations dressed in a skeleton costume (yes, that has happened!) to the next day comparing quotes from catering companies or tightening up the table setting for a PR event! 💃
Who are you?
You make things happen with energy, structure, and calm, even when the pace is high. You can handle multiple tasks at once, prioritize smartly, and are flexible when circumstances change. You see solutions where others see problems, take initiative, and thrive in a daily routine where no day is the same. You know how the event world works with fast-paced changes, last-minute adjustments, and unforeseen challenges - and for you, the only “mistake” is not acting.
We believe that you:
- Have 1-2 years of experience in coordination, PR, marketing, production, or a similar role where you have worked with planning and executing events or activities
- Are self-driven, structured, and detail-oriented
- Thrive in a fast-paced environment and enjoy hands-on work
- Have an easy time building and maintaining relationships with suppliers, brands, profiles, guests, and colleagues
- Express yourself fluently in Swedish and English
- Stay updated and follow trends in beauty, events, influencers, pop culture, and social media
- Are motivated by creating memorable events that strengthen brands and relationships, where the details really make a difference
- Can create simpler social media content and graphic print materials
About the position
The position is a permanent employment with an initial six-month probation period. The start date will be adjusted according to your availability. You will be based at our lovely office on Sveavägen in Stockholm, but will also spend a lot of time in our store on Drottninggatan 39, our beauty playground where most of the event magic happens. You will report to Louise Nobel, Head of Marketing.
In the role, you need to be flexible with working hours, as many events take place in the evenings and on weekends. Often, you will be the first to arrive and the last to leave, to ensure that everything runs smoothly from start to finish. The role requires you to be able to work physically on-site.
