Administrative Assistant at the Fortifications Agency
Do you want to make a difference in a socially important organization? We are now looking for an engaged administrative assistant in Stockholm, but tasks will occur throughout the East region. In this role, you will support and coordinate the region's issues within finance, administrative management, and operational follow-up.
The Fortifications Agency owns, develops, and manages robust defense properties for peace, crisis, and war. With our unique expertise in defense properties, we create secure environments for a robust total defense.
Your Everyday Life – Contribute to Total Defense
The Fortifications Agency's administrative organization consists of six regions, one of which is the East region covering the geographical area of Stockholm and Gotland counties. In the regional staff, there are currently administrative assistants, environmental officers, and contract administrators. As a team, we place great importance on creating a pleasant and collaborative environment where we work together with high professionalism and delivery capability.
The task of the regional staff is to plan, coordinate, follow up, and analyze the region's operations based on set goals, processes, routines, laws, and requirements within our area of work. We function as operational support to the region's managers and employees in contract, environmental, financial, operational, and administrative matters.
As an administrative assistant, you will work with planning and follow-up of operations and finances as support to the region's various functions. The ongoing work includes administrative management, control and coding of supplier invoices, invoicing, as well as work with budgets, forecasts, and year-end accounts. Travel within the region is part of the job.
Qualifications
We are looking for someone with a degree in finance, preferably at the university level, with a focus on real estate. Alternatively, you have other education or experience that is deemed equivalent and relevant for the position. You have several years of experience in financial administration. You have good knowledge of administrative IT support systems and express yourself well in both spoken and written Swedish. A B driver's license is a requirement.
It is an advantage if you have experience from working in property management companies, other authorities, or public organizations.

You have a strong willingness to collaborate and work together with your colleagues to achieve common goals. You can plan, drive, and complete tasks both independently and in close collaboration with others. We are looking for someone who is stable as a person – you handle stress constructively and have the ability to remain calm even under pressure. You meet setbacks with a good attitude and contribute to a positive atmosphere in the team, even when the pace is high or conditions change.

About the Employment
The position is a permanent employment and may begin with a probationary period. As a permanent employee, you will be placed in a war position. The position is based in our pleasant premises in the Karlberg Castle area, Stockholm. Alternative placement within the region can be discussed in consultation. Employment with us requires Swedish citizenship and involves placement in a security class. A security review with background check will be conducted before employment in accordance with Chapter 3 of the Security Protection Act.
