Administrator at the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, detention centers, and client transport.

The Legal Department consists of four units – the unit for planning, coordination, and legal development, the unit for information management, the unit for client law, and the unit for agency law. The unit for planning, coordination, and legal development is responsible for certain agency and departmental governance issues, coordination of the Legal Department's common processes, and the secretariat of the Personnel Responsibility Board.

RESPONSIBILITIES

As an administrator, you will support managers and employees in the department with various administrative matters. You will be responsible for monitoring and administering cases that come into the department's inbox as well as handling referral cases, record-keeping, and dispatching decisions, as well as redistributing cases. You will also be responsible for bookings and preparations for meetings. Furthermore, the role involves managing permissions in IT systems, delegations, invoices in financial systems, orders in procurement systems, and mail handling. You may also participate in administrative aspects of the process for preparations for the Chief Legal Officer and handle all administration related to new hires and terminations. The position is a fixed-term employment for about 1 year.

You work well with others and relate to them in a smooth and attentive manner, while also being able to take responsibility for your task, structure your work approach, and drive your processes forward independently. In your work, you are meticulous and structured, but can quickly adapt and adjust to changing circumstances and see opportunities in changes.

We are looking for someone who has:

  • A completed upper secondary education with a focus on administration, economics, or another area that the Swedish Prison and Probation Service deems relevant
  • Several years of experience in administrative work in the public sector
  • Experience in actively contributing to the development and efficiency of your role
  • Familiarity with working in Proceedo and Heroma or other similar systems for financial and personnel administration
  • Very good computer skills
  • Knowledge of Microsoft Word, Excel, and PowerPoint
  • The ability to express yourself well in spoken and written Swedish

It is an advantage if you have:

  • Experience in administrative work in government operations
  • Knowledge of record-keeping
  • The ability to express yourself in spoken and written English
