HR Administrator at the Swedish Prison and Probation Service in Stockholm

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, remand facilities, and client transport.

The Transport Department (TA) is tasked with transporting and supervising incarcerated individuals. These are clients of the Swedish Prison and Probation Service who are moved between remand facilities and prisons, to court hearings, and hospitals, among other places. TA also transports incarcerated individuals for entities such as the Police, the National Board of Institutional Care, the Migration Agency, and psychiatry. We are now looking for you to work as an HR Administrator in our newly opened transport section in Stockholm (Farsta). The section in Farsta is located in Farsta Strand. Approximately one hundred correctional officers and several administrators and caseworkers will work in the section. The operations will be led by a section manager along with three correctional inspectors.

Interviews will be conducted physically on-site in Stockholm during week 5, January 29 + January 30, 2026.

JOB DESCRIPTION

As one of two HR Administrators, you will be responsible for managing the transport staff's registrations in Heroma (checking and approving or rejecting these). You will support the transport staff with handling questions in Heroma regarding travel expenses, wellness/healthcare, assignment registrations, and other inquiries. The role also includes updating the staffing file, managing negotiated schedules, and handling individual agreements according to current routines when, for example, changing schedules.

Additionally, the role involves handling daily sick and wellness notifications, informing managers and planning, updating statistics, monitoring medical certificates, and notifying desired short-term leaves to planning.

You will also assist in producing certain HR statistics, order employment contracts for new employees, and manage administration arising from schedule management/staff planning. You will respond to simpler contractual questions from our employees. You will also have a special responsibility for inventory and ordering supplies to ensure our office stock is equipped with everything from pens to uniform items.

The work involves many contacts with other professional categories. You will work closely with managers in the local management group and the local planning organization. You will also have contacts and collaborate with the security section and the authority's central administrative support as well as the Swedish Prison and Probation Service's service center.

You will have good support and a sounding board in your colleague and your manager.

The section in Farsta is planned to open in May 2026, and most of your introduction will take place at the transport section in Solna during the spring. The section in Farsta is located in Farsta Strand. Approximately one hundred correctional officers and several administrators and caseworkers will work in the section. The operations will be led by a section manager along with three correctional inspectors.
