About the roleAs a program coordinator, you will have a central role in supporting program managers and lead project managers in their daily work. You will be responsible for ensuring that internal communication runs smoothly and that the program's administrative tasks are carried out efficiently and accurately. The role involves significant personal responsibility, where you independently plan, execute, and follow up on your work.

In this role, you will have the opportunity to contribute to projects that have a direct impact on societal development and safety. You will be an important part of a team where your structure, communication skills, and administrative expertise will be crucial.

Your responsibilities include:

• Supporting program managers and project managers in internal communication and administrative work.
• Creating and managing presentations, minutes, steering documents, and logs.
• Following up on decisions, actions, and ensuring that timelines are adhered to.
• Responsible for document management and ensuring that program documentation is current and accurate.
• Record keeping and reporting according to applicable requirements and routines.
• Ensuring that deviations within projects are reported and followed up.
• Planning and coordinating meetings and preparing relevant materials.
• Maintaining and updating program libraries and intranet pages.
• Working with other program coordinators to develop and improve administrative support.

Requirements:

• Academic degree in mechanical engineering, energy, civil engineering, infrastructure, or a related field.
• At least 1 year of experience in a similar role, such as program or project administrator, project engineer, or coordinator.
• Good knowledge of MS Office (Excel, Word, PowerPoint).
• Experience in managing and coordinating projects in a complex environment.

Meritorious:

• Experience working in the public sector in a similar role.
• Knowledge of project management models such as PPS, PMI, or Prince2.

• Independent and proactive.
• Good collaboration skills and flexible regarding workload.
• Structured and meticulous with an eye for detail.
• Communicative and clear in both speech and writing.
• Ability to build trust and relationships.

Practical information:

Assignment period: March 7, 2025 - March 16, 2027

Scope: 100% full-time

Location: Sundbyberg, travel may occur (domestic and international).

Remote work: 50% the consultant needs to be present in the office 2-3 days/week.
